Overview

We are seeking a highly organized and detail-oriented

Contract Administrator

to oversee the preparation, negotiation, and management of commercial construction contracts throughout their lifecycle. This role is critical in ensuring contractual compliance, minimizing risk, and supporting cross-functional teams in executing contractual obligations effectively and efficiently. This position supports the Project Management & Estimating teams to ensure successful and profitable projects from inception to completion. Candidates with a background in accounting, construction, project administration, and project coordination are strongly encouraged to apply. Location: Stockton, CA. Key Responsibilities Prepare, review, and negotiate contracts, subcontracts, and service agreements. Maintain and organize contract documentation, amendments, certificates of insurance, and other related records. Monitor contract performance to ensure compliance with terms and notify stakeholders of upcoming expirations or milestones. Collaborate with legal counsel, project managers, and department leads to ensure all contractual requirements are met. Ensure timely processing of contract changes, approvals, and closeouts. Assist in resolving contract-related issues or disputes with clients, vendors, or subcontractors. Track and report on contract metrics such as deadlines, renewal dates, and deliverables. Support audits and compliance reviews as needed. Contract department billing / AIA billing. Communicate and coordinate with project team and office administration team on bonding, insurance, Lien management, and contract agreements. Work with clients to negotiate contract terms to match our proposals. Maintain accurate project accounting file system. Support month-end close activities related to the contracts department as needed. Ensure budgets are kept up to date and reflective of project goals. DIR Compliance. Certified Payroll / Prevailing Wage - Provide services to support projects requiring certified payroll and prevailing wages. Workers' Compensation and General Liability insurance. State compliance.

Qualifications

Experience with commercial construction contracts (e.g., AIA documents, subcontracts, change orders). Bachelors degree in Business Administration, Law, Construction Management, or a related field. 3+ years of experience in contract administration, legal support, or procurement (construction or professional services experience preferred). Strong knowledge of contract law and legal terminology. Excellent communication and negotiation skills. High attention to detail and strong organizational skills. Proficiency with Microsoft Office and contract management software (e.g., ERP, DocuSign, or similar platforms).
