This is an onsite, in-person position in Nashville, TNWhat you will do:Responsibilities include but are not limitedtoassistingtheConstruction Managers and Project Managers with coordination/ documentation, ordering of equipment for Install base projects including day-to-day general office duties as assigned for firealarm,suppressionandsprinkler. How you will do it:Operations Administrative Support uploading and Maintaining Projects and Contracts via Job Design/ BBIMonitor statuses of small projects (fire alarm, suppression, sprinkler)?Communicate with customers and sale reps as to when material and/or labor isrequired.Ensure that required engineering is performed to meetcustomerexpectations.Coordinate with TIS supervisor and/or construction manager customer’slaborrequirements.Order equipment, ensure that customer receives materialwhenneeded.Report project statuses to department managersProcesschangeorders,releasing equipment, filing, Certificate of Insurance, Warranty LettersBill projects; compile back-ups such as Certified Payroll, work tickets etc.Handle customer/ contract disputes as needed.Coordinate delivery of equipment to the jobsiteCoordinate delivery ofclose-outdocumentsCreate purchase orders for subcontractorsProcure and verify project schedulesAttend work-in-progressmeetings.Track project RFI’s, change orders, and otherpertinentdocumentation.Coordinate Follow Ups with SalesTeamregardingprojectbookings; releasing of jobs from COE, Credit holds etc.Assist with Accounts Receivable (AR)Act as the facilitator and point-person for information sharing between OTC, District, and select customers as directed byACSMSupport Dispute Resolution in resolving disputes when requested by the AR Collectors or the Dispute team.Contact customers when identified as necessary as part of DMS or forverysimplereasons.What we look for:RequiredHigh School diploma or equivalentProficient in Microsoft Windows, Word, EXCEL, Power PointKnowledge of ACE,OASys, Job Cost SystemsAbility to multi-task and prioritize among assignments with a strong adherencetodeadlines.Excellent verbal and written communication skillsMust be organized, detail oriented andself-motivating.Must pass a pre-employment background check anddrugscreenPositive Attitudea mustPunctual and AccountableExperience dealing withcustomers?Valid driver's license witha gooddrivingrecordPreferredAssociate’s degreepreferred?3-to-5 years of related experienceExperience in a high-volume, customer service–oriented position?Electrical/Construction industry experience ishelpful?
