We are seeking a highly organized and proactive Marketing Administrative Assistant to support our client's marketing and communications team with administrative tasks, calendar coordination, event planning, and marketing material preparation. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and has a keen eye for detail.

Key Responsibilities:

  • Calendar & Scheduling Support
  • Manage and coordinate calendars for marketing leadership and team members.
  • Schedule meetings, appointments, and travel arrangements.
  • Prepare agendas and take meeting notes as needed.
  • Event Planning & Coordination
  • Assist in planning and executing internal and external marketing events.
  • Coordinate logistics including venue booking, catering, materials, and attendee communication.
  • Support onsite or virtual event execution.
  • Assist in the creation, editing, and distribution of marketing collateral (flyers, presentations, newsletters, etc.).
  • Maintain inventory of promotional items and marketing supplies.
  • Help ensure brand consistency across materials.
  • Administrative Support
  • Handle expense reports, purchase orders, and vendor communications.
  • Maintain organized digital and physical filing systems.
  • Support other marketing projects and initiatives as needed.

Qualifications:

  • Proven experience in administrative or marketing support roles.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite and calendar tools (e.g., Outlook, Teams).
  • Familiarity with marketing platforms (e.g., Canva, Mailchimp, Adobe Suite) is a plus.
  • Ability to work independently and collaboratively.
