Position Overview A distinguished private family is seeking an exceptional Personal Assistant to provide comprehensive lifestyle and household management support. This is a unique opportunity for a seasoned professional to join an established household team, working closely with a Family Office structure and Executive Assistant to ensure the seamless integration of personal and professional spheres.
Core Responsibilities Household & Property Management
Serve as the primary liaison for all household operations across multiple residences (3-4 properties) Manage relationships with vendors, contractors, and service providers, ensuring excellence in all household services Coordinate with property management teams to maintain residences to the highest standards Oversee household inventory management, procurement, and quality control Collaborate with Family Office on household expenditures and budget management Personal & Lifestyle Support
Provide comprehensive personal support including appointment coordination (medical, wellness, professional services) Manage complex travel arrangements utilizing both private and commercial aviation Coordinate all ground transportation, accommodations, and detailed itinerary planning Handle personal errands and shopping with attention to preferences and quality Provide dedicated pet care coordination including veterinary appointments and specialized care requirements Administrative Excellence
Maintain sophisticated calendar management across multiple family members Process correspondence and communications with appropriate prioritization and confidentiality Organize and maintain comprehensive filing systems and documentation Coordinate with the Family Office on financial and legal matters within established protocols Partner effectively with the business Executive Assistant to maintain appropriate boundaries between personal and corporate matters Event & Social Coordination
Plan and execute private events ranging from intimate gatherings to large-scale entertaining Manage vendor relationships for events, ensuring flawless execution Coordinate logistics for family gatherings and social engagements Maintain gift lists and manage procurement for special occasions Required Qualifications Professional Experience
Minimum 3 years of experience as a Personal Assistant in high-net-worth households or equivalent corporate executive support role Demonstrated experience managing multiple properties and coordinating with household staff Proven track record in complex travel coordination including private aviation Experience with confidential document handling and sensitive information management Core Competencies
Exceptional organizational and project management capabilities Outstanding written and verbal communication skills Advanced proficiency in Microsoft Office Suite and digital calendar management systems Strong financial acumen and experience with expense reporting systems Ability to maintain composure and effectiveness under pressure Flexibility to accommodate varying schedules including occasional evenings and weekends Essential Requirements
Valid driver's license with an excellent driving record Comfortable with and experienced in pet care Ability to lift up to 30 pounds (shopping, supplies) Available for domestic and international travel as needed Successfully pass a comprehensive background check Execute a Full Non-Disclosure Agreement Preferred Qualifications
