Job Overview :

The Production Assistant is a versatile position that will support daily operations in a fast-paced environment. The Hybrid Production Assistant will play a critical role in ensuring operational efficiency by providing front desk coverage, managing parts procurement, and assisting with vehicle detailing and lot management. This position Center Leader dedicated to high-level tasks like HR, payroll, production planning, and leadership communication.

The ideal candidate is organized, customer-focused, and adaptable, with a strong work ethic to handle diverse responsibilities. This full-time, hourly position offers competitive pay, opportunities for growth, and a dynamic work environment.

Responsibilities

Front Desk Support and Customer Service (30% of Time)

  • Phone and Customer Interaction : Answering incoming calls promptly, addressing customer inquiries, scheduling appointments, and routing calls to the appropriate team members as needed.
  • Front Desk Coverage : Greet walk-in customers professionally, assist with check-ins, and provide updates on repair status to enhance customer satisfaction.
  • Administrative Support : Assist the Center Leader and Estimator with managing door traffic, coordinating customer drop-offs and pick-ups, and maintaining a welcoming front office environment.
  • Communication Liaison : Relay messages between customers, staff, and leadership ensuring clear and timely information flow.

Parts Procurement and Inventory Management (40% of Time)

  • Order Management : Confirm drop-off orders, verify part accuracy, and ensure timely delivery of parts to meet repair schedules.
  • Parts Distribution : Perform mirror matching to confirm part compatibility, deliver parts to Body Technicians and Painter, and maintain an organized parts storage area.
  • Invoice Processing : Post parts invoices accurately in shop management software (e.g., CCC One or similar), ensuring proper cost tracking.
  • Returns and Credits : Coordinate parts returns, secure credits from suppliers, and post credits to maintain accurate financial records.
  • Invoice Tracking : Assist in keeping the unposted invoice tracker clean by reconciling pending invoices and flagging discrepancies.
  • Vendor Communication : Liaise with parts suppliers to resolve issues, negotiate credits, and maintain strong vendor relationships.

Vehicle Detailing, Lot Management, and General Support (30% of Time)

  • Vehicle Detailing : Clean and detail vehicles for delivery, ensuring a polished appearance that meets customer expectations.
  • Lot Porter Duties : Move vehicles around the shop and lot, stage cars for repair or delivery, and maintain an organized parking area.
  • Shop and Office Maintenance : Keep the shop floor, office, and customer areas clean and presentable, including sweeping, trash removal, and restocking supplies.
  • Ad Hoc Support : Provide daily assistance to the team, such as running errands, organizing tools, or supporting urgent tasks to maintain workflow.
  • Team Collaboration : Work closely with Body Technicians and Painter to ensure smooth handoffs and timely completion of repairs.

Skills / Qualifications

Required :

  • Experience : Minimum 1 year of experience in an auto body shop, automotive repair, or customer service role, with familiarity in administrative or hands-on tasks.
  • Strong organizational skills and multitasking abilities to manage front desk, parts, and detailing duties simultaneously.
  • Excellent communication and customer service skills to interact with clients and team members professionally.
  • Basic computer proficiency for invoice tracking and shop management software (e.g., CCC One, Mitchell, or Autoflow).
  • Physical ability to lift up to 50 lbs., move vehicles, and perform detailing tasks.
  • Education : High School diploma or equivalent
  • Availability : Full-Time availability with flexibility for occasional overtime during peak periods.
  • Driver’s License : Valid California driver’s license with a clean driving record for lot porter duties.

Preferred :

  • Experience : 2+ years in a body shop or automotive environment, with exposure to parts procurement or inventory management.
  • Certifications : Basic automotive certifications (e.g., I-CAR non-structural training) or familiarity with ADAS-equipped vehicles.
  • Software Knowledge : Experience with CCC One, Parts Trader, OPStrax or similar shop management tools for parts and invoice tracking.
  • Bilingual Skills : Proficiency in Spanish to assist diverse customers and vendors.
