The Trauma Registrar supports Reston Hospital Center’s adult Trauma Program and organizational requirements for verification as Level II Trauma Center by the Commonwealth of Virginia and the American College of Surgeons by maintaining a registry database. This includes identification of cases for inclusion into the registry database, as well as the abstraction of data from various sources including the electronic medical record, prehospital databases, and other data sources. The Trauma Registrar ensures adherence to data management protocols set forth to ensure accurate and timely reporting of data to the organization and regulatory agencies. The Trauma Registrar assigns ICD-10 diagnosis codes and Abbreviated Injury Scale Scores to procedures, comorbidities and complications according to established methodology and coding rules. The Trauma Registrar reports complications and quality issues to the Performance Improvement Manager and assists with performance improvement activities.

Job Functions

Ensures timely, complete, and accurate patient case data entry according to Virginia, ACS, NTDB, Page 3 TQIP, and enterprise requirements.

Demonstrates ability to accurately and completely abstract and enter a minimum of 500 – 750 trauma cases annually within 3 months of hire. Participation or management of any assigned projects or duties will be weighed against this minimum volume.

Coordinates with the Lead Trauma Registrar, Trauma Performance Improvement Manager, and Trauma Program Director to determine inclusion criteria and identify trauma cases. 4. Reviews and ensures coding accuracy of ICD-10/CM for all diagnoses, procedures, and operations.

Identifies and communicates complications and performance improvement issues discovered during case abstraction.

Assists in preparation for and attends Trauma Service related meetings and conferences at the direction of the Trauma Program Director.

Completes trauma registry software training upon hire and maintains all pertinent registry software continuing education as the product receives updates.

Completes eight hours of continuing education units (CEU’s) annually or 24 every 3-year review cycle as per trauma regulatory requirements (subject to change with revisions in regulatory requirements).

Interacts with trauma surgeons and other personnel in order to obtain/clarify needed information.

Represents Reston Hospital Center at various meetings, committees, or educational offerings at the direction of the Trauma Program Director.

Acts with discretion in the workplace, maintaining confidentiality with sensitive and proprietary information.

Qualifications Education : Understanding of medical terminology and knowledge of anatomy and physiology is required. Completion of ICD-10 CM and PCS coding courses is preferred. Successful completion of the American Trauma Society’s Trauma Registrar Course, ICD-10 Trauma Injury Coding Course and the Association for the Advancement of Automotive Medicine (AAAM) Abbreviated Injury Scaling 2015 (AIS 2015) Course is required within one (1) year of hire.

Certification:

Certification by the Association for the Advancement of Automotive Medicine as an Abbreviated Injury Scale Specialist (CAISS) within is required within two (2) years of hire.

Experience : One year of work experience in registry data abstraction/coding or two years of experience in medical data abstraction/coding is preferred. Proficiency with MS Office software including Outlook, Word, and Excel.
