The role you\'ll contribute
Under the supervision of the Office Manager/Executive Administrative Assistant, this position will perform a variety of administrative and clerical tasks. This position performs day-to-day administrative support functions for the Administration Office, including, but not limited to:
- Establishing and/or maintaining professional relationships with customers, vendors, and agencies conducting business with the executive team
- Answering phones, filing, distributing mail, operating fax machines and copiers, and communicating with department and organizational leaders in a fast-paced environment
- Interacts with staff members at all levels throughout the organization

- Compose and type correspondence such as letters, memorandums, policies, reports, etc. from drafts, dictation, or transcription in an accurate, neat and timely manner
- Prepare agendas, assemble packets/binders, send reminder notices, reserve room/prepare catering request, record and transcribe minutes for various meetings
- Proofread all typed correspondence, revising and changing as necessary, to ensure accuracy of spelling, grammar, and punctuation prior to submission and/or distribution
- Oversee and assist opening, sorting and distribution of mail and incoming faxes to the appropriate person or department
- Maintain calendar for the executive to ensure efficient use of time/manage conflicts and work to reschedule
- Update and prepare slides for PowerPoint presentations
- Assist with coordination and preparation of projects, as needed
- Ensures the telephone in the Administration office are answered courteously and in a timely manner; screening and prioritizing in accordance with instruction
- Ensure complete and accurate telephone or visitor messages are routed timely
- Assists callers or visitors in any way possible, routing to the appropriate staff person or office personnel
- Ensure office supplies and kitchen supplies are adequately stocked and inventory reviewed weekly
- Greet visitors, patients, doctors, and employees upon entrance to office building
- May be required to conduct/participate in event planning
The expertise and experiences you\'ll need to succeed
Minimum qualifications :
- High School Grad or equivalent
- Previous administrative assistant experience
Preferred qualifications :
- Previous experience supporting executive leadership
- Previous experience in Healthcare Organization of a similar size
- Associates Degree
