Job Description - Scheduling Secretary (25142351)

JOB OVERVIEW: The purpose of this job is to assist the school administration with maintaining a safe and orderly school environment. This role mainly includes ensuring classrooms are staffed by school personnel throughout the day as situations arise. The position will also be responsible for conducting data analysis on data provided by the administration, which will be used to make educational decisions and for an annual school report. The position is scheduled for 185 days per year and may require starting at 5:30 AM to accommodate substitutes. Workdays are 8 hours.

Typical Duties

  • Maintaining Daily Staff Schedule (70%) — Schedule substitutes and adjust schedules throughout the day in accordance with approved leave requests; schedule substitutes for absences reported after the close of school hours; compose daily morning texts to paraprofessionals and substitutes with planned schedules; maintain logs for staff leave hours (biweekly pay periods and annual reviews) and manage the staff leave request calendar; maintain a Staff Attendance Google Sheet; print timesheets and collate leave requests for each biweekly pay period and assist the principal with necessary paperwork.
  • Student Assistance (15%) — Release/admit students to the Infirmary or to authorized individuals, transport students as assigned, assist the Principal in monitoring students as needed.
  • Main Office Assistance (15%) — Compile data from back-to-school paperwork; work with Head Nurse and Principal to collect missing data; prepare correspondence, reports and letters for staff in the Education Department; maintain various files/logs for the Principal; assist the Education Secretary with routine phone duties, greeting visitors, and directing them to the appropriate staff.

Qualifications

Required/Preferred: One year of secretarial coursework through a college or vocational-technical center preferred. Minimum of three years’ experience in secretarial or general office work preferred. Preference given to experience in a school or educational setting.

Knowledge, Skills and Abilities

Candidate should be able to multi-task in a fast-paced environment. Flexibility and attention to detail, along with strong computer skills, are required. Proficiency in spelling, grammar and composition; knowledge of office practices and procedures. Sign language skills are desired. The candidate should be able to communicate effectively verbally and in writing; the ability to establish and maintain effective working relationships with students, staff, other education agencies, and the general public is required. Proficiency in American Sign Language or manual communication is desired but not required at entry level and should be developed throughout tenure.

Training Assignment: This agency may use a training assignment. Employees in training assignments may be paid below the base pay established by the agency pay rules. Conditions of the training assignment will be stated in writing at the time of hire.

Salary, Telework and Benefits
