Location : New Haven/Hybrid Northeast – This position is hybrid with a preference to be in the New Haven office 1-2 days a week. Relocation will not be offered.

In this role, you’ll be at the heart of our HR team, helping to create a seamless experience for our candidates and employees. From scheduling interviews and supporting onboarding/offboarding to administering benefits, maintaining employee records, and tackling compliance and audits, you’ll be involved in it all. You’ll also take on special projects that will help shape how we grow and scale as a company.

Responsibilities
Talent Acquisition
Post roles on LinkedIn and other job boards. Ensure a positive candidate experience from application to onboarding. Monitor applicant flow in Greenhouse; when needed, send application questions, correct/edit candidate information, and proactively support the recruiting team to keep candidates moving in a timely manner. Organize and schedule interviews across multiple time zones for candidates and team members. Arrange interview rooms, virtual meetings, and provide resources for a smooth interview process and positive candidate experience. Support recruiting team with an efficient and timely process, including following up on candidate communications, scheduling kickoff and debrief meetings, and other support as needed. Assist with purchase orders and invoices for recruiting activities. Utilize Greenhouse Recruitment and Greenhouse Onboarding to manage candidates, generate offer packages, and produce reports; contribute to continuous improvements to the system.

Assist with administration of employee benefits plans (healthcare, life, disability, and other welfare programs). Coordinate with third-party benefits administrator, leave administrator, and payroll for questions, communication, and program implementation. Initiate COBRA for departing employees to ensure timely information. Approve new hire benefits selections in ADP; reconcile benefits invoices with Finance to ensure accurate payments. Manage employee recognition program, including tracking awards and communications with recipients. Assist with year-end compensation planning and update systems accordingly.
HR Operations
Process new hires and terminations in ADP. Coordinate onboarding and orientation, including presentations and new hire activities. Oversee onboarding and offboarding checklists for employees and contingent workers. Initiate and monitor background checks and I-9 processes for candidates and contingent workers. Maintain accurate organizational structures in ADP and reporting charts; manage daily transaction changes (supervisor changes, title changes, promotions, etc.). Create and maintain employee records and HR files; audit and reconcile ADP data monthly. Provide support on projects, data audits, reporting needs, and key presentations. Prepare termination packages when needed, including separation agreements, final benefit calculations, and COBRA information. Ensure compliance with country-specific employment laws and HR processes. Act as the first point of HR contact, fielding employee requests and routing to appropriate team members. Support quarterly HR metrics data gathering, analysis, and presentation. Serve as the functional representative for purchase orders and contract submissions; support HR-related communications and documentation as needed. Assist with payroll coordination and changes; support company event and meeting coordination as needed. Maintain company-wide and functional organizational charts. Assist with ordering Invivyd swag and other ad hoc projects as needed.
Requirements
2-5 years of experience in a related role. Strong proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with ADP and/or Greenhouse is a plus. Proficient at learning new systems quickly. Can-do, roll-up-your-sleeves attitude. Exceptional organization and attention to detail with a commitment to confidentiality. Excellent written and verbal communication skills. Effective team player with ability to engender confidence across the organization. Flexibility and ability to adapt to changing conditions.
