The Administrative Coordinator is a highly visible role, serving as the primary point of contact for administrative and project support. This position sits at the center of Educare DC and will significantly impact leadership and organizational performance by building, implementing, and maintaining systems to support Educare DC in achieving strategic goals. The person in this role is highly organized, an excellent communicator, and able to prioritize administrative needs in a fast-paced environment. The Administrative Coordinator also provides administrative support to ensure programs\' goals and outcomes are achieved. Reporting relationships
The Administrative Coordinator reports directly to the Director of Administration Major responsibilities and key tasks
Welcome Desk / Customer Service: respond to inquiries in a professional manner; create and maintain an up-to-date school directory; maintain positive parent relations and professional image; serve as backup to the Welcome Center and Front Desk Receptionist during absences and meetings. Administrative: provide administrative support for Educare DC including the Executive and School Leadership teams; maintain confidentiality; assist in meeting preparation, mailing, and communication; manage Outlook calendars and contacts; schedule internal and external meetings and interviews; coordinate meetings, work groups, committees, and special events (agenda creation, materials, logistics). Operations: ensure materials, equipment, and supplies are prepared for tours and meetings; manage purchasing functions; support procurement in line with the departmental budget and federal guidelines; maintain school inventory; schedule and coordinate staff travel and travel arrangements; compose and distribute reports, emails, presentations, and meeting notes; collaborate on onboarding processes; act as liaison between departments; perform other duties as assigned. Project management: execute special projects, gather data, perform analyses, and coordinate development and implementation of new initiatives with defined scope and deliverables. Associate’s degree with 2 years’ experience Bachelor’s degree preferred Essential job functions
Advanced command of English (verbal and written) and strong grammar Visual and auditory acuity within normal ranges Manual dexterity to operate office equipment Must be able to lift 40 pounds and travel as required Ability to work with a culturally diverse staff and families in poverty Regular attendance and flexible hours across locations Clearance of background checks and required health screenings Required skills and abilities
Ability to engage in reflective supervision Proficiency with Microsoft Outlook, Word, Excel, email systems, and related software; ability to learn new systems Excellent verbal and written communication; interpersonal skills Ability to organize files and maintain confidential information Ability to prioritize multiple tasks and exercise independent judgment Team-oriented with strong collaboration and communication with diverse staff
