Senior Registration Representative Per Diem
Internal Medicine-How Lane
Overview The Senior Registration Representative Per Diem will perform scheduling and registration duties in accordance with Hospital and Departmental policies, using the Athena system. This role requires accurate data entry of demographic, insurance, and physician information, and interaction with patients, visitors, and internal staff in a professional manner. Schedule: Monday-Friday, 8 am - 4:30 pm. Grade 114.
Responsibilities
Perform scheduling and registration in accordance with Hospital and Departmental policies and procedures in the Athena system; accurately register patients with demographic, insurance, and physician information; obtain appropriate referral information and enter it into the appropriate registration screen.
Make copies of identification and insurance card(s); organize with registration forms and charge tickets; distribute to appropriate personnel according to hospital policy.
Scan all documents according to hospital policy; prioritize patient registration based on concurrent sessions, appointment times, and patient volume.
Provide clients with appropriate forms and documents as per Registration Policy for Ambulatory services; receive and screen telephone calls and patients for the Perinatal Center in a professional and courteous manner.
Answer phone within three rings, stating the department name and identifying self; screen calls, determine urgency, and dispatch requests to appropriate personnel; take accurate messages as established by department procedures.
Greet and receive visitors and patients; identify patients on schedule, note appointment times, and inform patients of any wait time.
Prepare for upcoming patient sessions by preparing daily charts, filing faxes, and printing schedules; schedule patients using the patient appointment system according to policy for each patient session.
Confer with staff before adding patients to an already full schedule; inquire regarding insurance when scheduling and inform patients when a referral is required.
Refer patients to financial counselors prior to scheduling when appropriate; instruct patients to arrive 30 minutes prior to appointment time for the registration process; ensure patient has directions to the appropriate clinic when scheduling a new patient.
Assist patients with obtaining proper pre-certification and referrals or prescriptions needed for the exam by contacting the referring physician's office; call to remind patients of appointments the evening before and perform pre-registration if appropriate.
Perform Medical Record functions in accordance with Departmental policies and procedures; perform clerical functions such as faxing, scanning into Athena, pulling charts, and filing.
Prepare for upcoming patient sessions by printing schedules, looking up medical record numbers, and pulling the medical record for each scheduled patient; file loose reports (progress, operative, x-ray, lab) according to policy; reconcile medical record numbers as needed.
Maintain Medical Record Room in an orderly fashion; collect, deposit, and log patient payments according to policy; collect co-payments and provide receipts; deposit funds according to policy.
Operate standard office machines; check referrals, pre-certifications, authorizations, and patient prescriptions prior to procedure dates; attend training sessions and meetings on updates in registration, scheduling, and insurances.
Demonstrate ability and flexibility to multitask and work as part of a team; perform other duties as required by the department.
Qualifications
Ability to read and write well enough to type, edit, and proof business correspondence and prepare reports; generally acquired through a high school education and three years of related secretarial work experience; 60 WPM required.
Must be able to accurately and efficiently record and type dictation involving a normal range of business vocabulary; typically acquired through completion of a secretarial science program.
Interpersonal skills to interact effectively with a diverse group of internal callers, patients, and visitors, and a limited number of external contacts.
