Under the supervision of the Nursing Director and as a member of the Unit Based Patient Care Team, the unit secretary performs a wide range of secretarial duties and coordinates unit/floor procedures to ensure professional and efficient operation of the department in providing quality patient care. Responsibilities include answering unit phones, coordinating with health care team members and other departments, scheduling patient tests and appointments, maintaining medical records, initiating and tracking unit requests, and coordinating discharges, transfers, and admissions to assure efficient operation and resource management. Demonstrates the knowledge and skills to provide indirect patient family centered care appropriate to the age of the patients served on the assigned unit. Responsible for receiving visitors and responding to the needs of patients and family members. Essential Functions
Provision of a Safe Environment – Assists in maintaining a safe environment and intervenes appropriately. Identifies and/or initiates appropriate follow up for safety issues. Utilizes judgment in implementing physician orders in a safe and conscientious manner, notifying the charge nurse of any concerns. Service – Ensures patient and family needs and expectations are met in a timely and caring manner. Maintains the CARE standards with focus on communication, appearance and respect. Works collaboratively as a member of the Patient Care Team and supports efficient unit operations. Organizational Ethics – Maintains and promotes the mission and values of the organization. Maintains confidentiality of patient information. Respects and supports a culturally diverse staff and patient population. Addresses patient or family concerns by notifying the Nursing Director/supervisor or clinical leader. Management of Resources/Supplies – Orders, expedites and distributes unit, clerical and patient care supplies as directed. Maintains work area and equipment in neat, functioning order. Initiates and tracks facilities, Biomed, housekeeping, and IT work orders. Notifies Biomed of malfunctioning equipment and arranges repairs. Communication and Information – Answers and manages all unit phone calls in consultation with the charge nurse. Takes accurate messages and delivers them promptly. Participates in shift-to-shift handoff communications and coordinates paperwork (e.g., referrals, lab results) with appropriate staff. Maintains patient medical records per hospital policy and procedures. Schedules diagnostic tests, appointments, and consults; coordinates patient discharges and transportation. Patient Care Operations – Performs clerical duties to admit, transfer, and discharge patients; ensures patient records accompany patients during transfers; updates bed management system; processes medication and chart-related tasks as directed. Quality and Interdisciplinary Care – Interacts with all care team members to provide interdisciplinary patient/family centered care. Responds to patient call lights and coordinates with clinical staff to fulfill requests. Floats to other units as needed. Education and Competency – Maintains unit secretary competencies; participates in continuing education; orients/precepts new personnel; attends relevant meetings and safety events; participates in quality improvement activities. Patient/Family Education – Provides basic information to patients and families about unit operations and processes in a professional manner. Qualifications
Education High School Diploma or Equivalent required Can this role accept experience in lieu of a degree? No Experience Experience in a clerical support or customer service role; 0-1 year preferred Knowledge, Skills and Abilities Computer skills (Microsoft Office). Strong follow-up and resolution abilities. Ability to prioritize and manage multiple tasks. Strong patient/customer service skills. Ability to learn new software systems and technology. Adaptability to changing situations.
