Assistant Director of Financial Aid

Operations is primarily responsible for financial aid records management, office communication production, financial aid advising and daily operations support. Essential Functions This exempt position provides professional administrative and operational support in the delivery of student financial aid, ensuring compliance with federal and state regulations, accuracy in data management, and excellence in student service. The role requires independent judgment in reviewing, interpreting, and applying financial aid policies and procedures, as well as collaboration with multiple campus stakeholders to support effective student enrollment and retention.

Key Responsibilities

Data and Compliance Management: Independently oversees the transfer, reconciliation, and integrity of financial aid data between federal systems (EdConnect, ISIR ) and the institutional PowerFAIDS platform. Analyzes and resolves discrepancies, exercising judgment to ensure regulatory compliance and accurate records. Eligibility Review and Decision-Making :

Reviews and interprets Institutional Student Information Records (ISIRs) and related documentation to determine financial aid eligibility. Identifies cases requiring additional documentation, applies regulatory standards, and flags exceptions for senior staff review. Program Administration :

Administers aspects of institutional aid programs including named/endowed scholarships, graduate assistantships, residence assistantships, and external grant-funded awards (e.g., TOC , RISE , AMPS ). Ensures proper awarding, disbursement tracking, and reconciliation in alignment with donor, institutional, and compliance requirements. Federal and State Aid Processing :

Supports the administration of federal and private loan programs, Pell Grants, and related Title IV aid. Ensures timely and compliant processing in accordance with Department of Education guidelines. Student Service and Advising :

Provides direct financial aid counseling to a designated student population (e.g., DPT and PA programs). Delivers front-line support through appointments, phone, email, and walk-ins, applying policy knowledge to address student concerns and guide decision-making. Policy and Document Oversight :

Maintains and updates office forms, workflows, and web content to reflect annual changes in federal and state regulations. Ensures information provided to students and families is accurate, timely, and accessible. Audit and Reporting Support :

Prepares documentation and assists with audits and program reviews related to Title IV aid. Generates reports and provides data analysis to support compliance and office operations. Communications and Outreach :

Coordinates student communications regarding missing documents, deadlines, and financial aid requirements. Represents the Financial Aid Office at campus and community events. Professional Knowledge and Development :

Maintains current expertise in financial aid regulations, policies, and best practices. Attends professional development opportunities and applies learning to enhance service delivery. Required Education, Experience, Technology Applications and Skills

3 years of financial aid experience. Must be detail oriented with problem solving skills. The ability to work independently, prioritize work and multi-task. Strong written and verbal communication skills. Preferred Education, Experience, Technology Applications and Skills

3+ years of financial aid experience. Experience with Powerfaids, Edconnect, and federal aid systems. Supervisory Responsibilities

May provide oversight for one or more student workers, including graduate assistants. Physical Requirements

Prolonged periods of sitting, moderate computer use, and occasional lifting or moving of light objects. Equipment to be used

Proficiency with typical office equipment is necessary for this role, including computers, printers, scanners, telephones and photocopiers.
