Location: Rancho Cordova, CA | Employment type: Full-time on site | Reports to: Accounting Manager

Responsibilities

• Review, verify, and enter invoices and payment requests into the accounting system.
• Process and schedule vendor payments and reconcile accounts payable sub-ledgers to the general ledger.
• Respond to vendor inquiries, maintain primary vendor files, and resolve payment discrepancies or issues.
• Maintain accurate financial records, documentation, and copies of invoices and purchase orders for tax and audit purposes.
• Assist with month-end closing activities, such as providing supporting documentation for audits.
• Ensure all transactions comply with internal policies and prevent unauthorized or fraudulent activities.
• Process employee expense reports and receipt reconciliation.
• Renew consultant agreements and help with annual 1099s.
• Provide administrative support as needed; support on special projects; travel support.

Qualifications

• Required Skills: Attention to detail for accurate invoice data entry and payment processing; strong communication with internal teams and external vendors; effective time management to meet payment deadlines.
• Computer proficiency with QuickBooks and other tools such as Excel and Word; knowledge of basic accounting principles.
• Our Ideal Candidate: College degree or equivalent work experience (approximately 4 years in accounting/finance); meticulous, organized, collaborative, and strong communicator; motivated self-starter with initiative, professionalism, and resilience.
