This role will collaborate with the Chief Financial Officer to handle all daily financial operations for the company and will hold responsibility for financial reporting, core bookkeeping, reconciliations, transaction-level accounting, and process execution. What you will do:

  • Record and categorize all financial activities, including vendor bills, journal entries, bank activity, and customer payments
  • Ensure the general ledger records are current and accurate
  • Oversee the month-end close process, including the preparation of journal entries, reconciliations, and accruals
  • Collaborate with the CFO to guarantee accurate and prompt reporting
  • Oversee the complete AP and AR processes, including customer invoicing, collections, approvals, check runs, and vendor invoice entry
  • Keep up-to-date customer and vendor records
  • Track daily cash activity and reconcile bank accounts
  • Handle the processing of incoming and outgoing financial payments, deposit records, and ACH activity
  • Ensure accurate and prompt payroll processing through collaboration with the PEO
  • Record employee hours, PTO, bonuses, and updates
  • Review payroll reports and verify accurate posting to the GL
  • Generate event cost summaries, internal financial reports, and ad hoc analyses when requested by the CFO
  • Manage schedules for prepaid expenses, fixed assets, and other regularly occurring items
  • Provide support for the preparation of insurance audit documentation, 1099 filings, annual tax returns, and sales/use tax reporting
  • Coordinate with outside accountants to manage document requests
  • Assist in the development and execution of streamlined financial processes
  • Document processes and controls designed to grow with the organization and enhance accuracy
  • Assist with optimizing system workflows, maintaining data integrity, and the setup of accounting software
  • Contribute to the improvement of software tools to aid financial operations
  • Offer further administrative or financial support when needed by the CFO

What you will need to be successful:

  • Bachelor's degree in accounting or finance (required)
  • 3-5+ years of experience in full-cycle accounting
  • Background in small business operations or hands-on work settings (preferred)
  • Experience with bank platforms and accounting software
  • Prior involvement in completing an audit cycle (preferred)
  • Experience working with PEOs or outsourced payroll providers (preferred)
  • High level of knowledge with accounting best practices and GAAP
  • Outstanding attention to detail with a high level of accuracy
  • Demonstrated reliability with the motivation and ability to work independently
  • Excellent computer skills, particularly with Excel
  • Strong communication and collaboration skills across departments
  • Ability to thrive in a fast-paced work environment with a high level of accountability
  • Ability to travel occasionally for training or business support as needed
