Position Summary We are looking for an Executive Assistant to support ~4 members of the executive team in a fast‑paced, exciting, and growing organization. This hybrid role is based in our Naperville, IL office, requiring a regular in‑office presence (generally T‑TH, occasional M/F for business).

Responsibilities

Manage Business Development conference and tradeshow registration and logistics.

Logistics liaison for the OHS Advisory Board.

Manage complex calendars and plan events for the executive team and external partners.

Coordinate travel, hotel booking, transportation, meal coordination, and expense reporting.

Build a positive team environment and collaborate with other Executive Assistants for coverage.

Coordinate projects, analyze data, and create impactful PowerPoint presentations as needed.

Maintain confidentiality and professionalism with all materials and employees.

Coordinate events and programs for all‑staff meetings, training classes, and celebrations.

Greet and welcome visitors and guests with polite, professional customer service.

Experience and Qualifications

Minimum 5 years of executive‑level administrative support, including at least 2 years at C‑level.

Exceptional written and oral communication skills.

Experience overseeing budgets and expenses, strong time‑management skills, and the ability to organize multiple projects with keen attention to detail.

Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems.

Ability to keep company confidences and maintain full confidentiality of private and sensitive information.

Demonstrated commitment to valuing diversity and contributing to an inclusive working environment.

Self‑starter, minimal supervision, good judgement, basic reasoning skills, and multi‑tasking ability.

Great work ethic, positive can‑do attitude, and willingness to go the extra mile.

Prior exposure to board preparation and support is a plus.

Computer Skills Needed to Perform this Job

Proficiency in Microsoft and Google Suites.

Education

Bachelor's Degree or equivalent work experience.
