Position Summary Ultimate Staffing is seeking an Administrative Assistant who is bilingual in Spanish to support daily office operations and provide exceptional customer service. The ideal candidate will be comfortable handling a high volume of calls, managing administrative tasks, and interacting with staff and clients in a friendly and efficient manner. This role requires strong communication skills, attention to detail, and proficiency in Microsoft Office applications.

Key Responsibilities

Answer and direct a high volume of incoming calls with professionalism and courtesy

Greet visitors and provide front-desk support as needed

Perform data entry, prepare documents, and maintain organized filing systems

Communicate effectively in both English and Spanish, verbally and in writing

Draft and proofread emails, reports, memos, and other documents with strong attention to grammar and spelling

Provide general administrative and clerical support to staff and management

Schedule appointments, meetings, and conference calls

Operate standard office equipment such as copiers, fax machines, and multi-line phone systems

Maintain office supplies and place orders when necessary

Support other departments with administrative tasks as required

Qualifications

High school diploma or equivalent required; associate degree or higher preferred

Bilingual in Spanish

2+ years of administrative or office experience

Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

Excellent typing, spelling, grammar, and data entry skills

Strong communication and interpersonal (soft people) skills

Able to multitask, prioritize, and handle a fast-paced environment
