Job Overview
Join our dynamic and collaborative legal team as an experienced Legal Secretary. We are seeking a highly organized and detail‑oriented professional to provide comprehensive legal support to two to three attorneys specializing in civil litigation and administrative law.
Key Responsibilities and Essential Functions
- Docketing and Calendaring: Manage and maintain complex calendars for attorneys, including scheduling deadlines, court appearances, meetings, and appointments.
- Case and Matter Management: Assist with opening new client matters and maintaining electronic and physical case files, ensuring meticulous organization and easy retrieval.
- Court Filings and Service: Prepare and e‑file legal documents in state, federal, and administrative hearing venues, adhering to strict court rules and deadlines.
- Document Preparation: Draft, edit, and proofread legal documents, such as pleadings, motions, and correspondence, with exceptional attention to detail.
- Scheduling and Coordination: Coordinate and schedule meetings, conferences, and depositions, including communication with clients, opposing counsel, and court personnel.
- Handle Telephone and Videoconference Calls: Receive and screen telephone calls, and relay messages to lawyers, clients and staff. Work with various audio and video conferencing software, such as RingCentral, Zoom, Teams, etc. Calendar and create calls on behalf of assignments.
- Communication: Serve as a professional and confidential point of contact for clients, court personnel, opposing and co‑defense counsel.
Qualifications and Requirements
- Minimum of three years of recent experience as a Legal Secretary in a litigation and/or administrative law environment.
- Proficiency in e‑filing systems for state, federal, and administrative courts.
- Work independently on pleadings, discovery, motion preparation and e‑discovery.
- Ability to create Table of Contents and Tables of Authorities for pleadings as required.
- Expertise in docketing and maintaining legal calendars.
- High proficiency in Microsoft Office Suite products including Word and Outlook Calendar, and experience with legal practice management software (e.g., iManage and ProLaw) preferred.
- Excellent written and verbal communication skills, along with strong proofreading abilities.
- Exceptional organizational skills and the ability to manage multiple priorities and deadlines with a high level of accuracy.
- A high degree of discretion and professionalism in handling confidential client information.
- Ability to work under tight deadlines and prioritize responsibilities.
- Ability to work effectively in a fast‑paced environment.

Salary Range: $65,000 - 90,000 DOE
