Faculty Group Practice Secretary I (OB/GYN)
– This front‑end administrative role supports practice operations by greeting patients, answering calls, scheduling appointments, and performing related duties. Job Responsibilities
Greets patients professionally in person and on the phone. Answers patient questions and refers issues to the appropriate contact. Optimizes provider schedules and patient access by establishing and maintaining efficient scheduling templates. Promotes a positive patient experience throughout all interactions. Ensures availability of treatment information by retrieving and updating patient records. Verifies insurance information and obtains data needed to schedule and bill for services. Maintains office inventory and equipment by anticipating supply needs and expediting orders. Performs additional duties as needed. Administrative Responsibilities
Manages patient intake functions, including registration, form collection, updates, and co‑payment collection. Monitors Department Appointment Report for check‑out, appointment notes, insurance flags, and patients needing assistance. Collects patient demographic data and insurance information, verifies eligibility electronically, and collects referrals. Acquires and processes patient and financial documents for visits, obtaining signatures where appropriate. Enrolls patients above age 5 into Patient Secure using palm scan and photo. Promotes utilization of Check Mate kiosks, scanning documents into Epic with correct document type. Monitors waiting areas to communicate wait times. Performs checkout functions, scheduling follow‑up visits, procedures, and referrals, and collecting payments as needed. Promotes use and sign‑up of MyChart. Answers phone calls and requests professionally and patient‑friendly. Schedules routine appointments and follow‑ups for visits. Verifies demographic info and edits as necessary, collecting missing patient information. Copies patient records in accordance with HIPPA and FGP ROI guidelines, fulfilling 10‑day requests. Patient Experience and Access
Brand ambassador: upholds the mission, vision, and values of NYULH, promoting excellence in patient experience. Drives consistency in patient and colleague encounters by embodying FGP Service Strategy CARES. Greets patients warmly, stating name and role, and clearly communicates each step of care. Works with colleagues and site management to ensure a positive experience and timely resolution for all patient interactions and inquiries. Proactively anticipates patient needs, applying the LEARN model and escalating to leadership as appropriate. Shares ideas or opportunities to improve patient experience and access with leadership. Partners with Patient Access Center and Central Billing Office to support collaboration and promote a positive patient experience. Minimum Qualifications
High School Diploma. Excellent organizational, interpersonal, verbal and written communications skills. Strong customer service orientation. Basic knowledge of word processing, spreadsheet, database and Internet applications. Light, accurate keyboarding skills. Ability to complete multiple tasks efficiently and thrive in a team environment. Preferred Qualifications
Intermediate knowledge of computer‑based scheduling and appointment programs. Benefits
