Job Summary / Basic Function This role provides comprehensive administrative, communications, and operational support to the Dean of the Boonshoft School of Medicine, who also serves as the Chief Academic Officer (CAO) for Premier Health. The position requires a highly experienced professional who can independently manage the Dean's Office operations while excelling at strategic communications.

Key Responsibilities

High‑level administrative support: Manage Dean's/CAO's Office operations.

Strategic communication: Draft executive‑level messaging, remarks, and announcements; advise on digital and social media engagement.

Stakeholder collaboration: Serve as key liaison, coordinating extensively with university officials, Premier Health executives, and other Dayton‑area hospital administrators to support the Wright State and Premier Health affiliation.

Operational excellence: Ensure compliance, continuous improvement, and a high standard of service.

Minimum Qualifications

Bachelor's degree and 2 years of experience, or an Associate's degree and 4 years of experience, or a high school diploma and 6 years of experience.

Excellent verbal and written communication skills.

Experience in writing, editing and budget management.

Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with social media platforms and digital communication tools.

Strong organizational and project management skills with ability to manage multiple priorities under tight deadlines.

Ability to calculate basic math.

Proven admin or assistant experience.

Knowledge of office management systems and procedures.

Attention to detail and strong planning, organization and problem‑solving skills.

Preferred Qualifications

Master's degree.

Experience providing executive communications support for senior leaders.

5 years or more of progressively responsible experience supporting senior leadership in higher education, healthcare, or a similarly complex organization.

Familiarity with public relations, branding, and digital engagement strategies.

Proven ability to draft, edit, and prepare executive‑level communications (e.g., speeches, announcements, formal correspondence, and public remarks).

Essential Functions and Percent of Time

35% - Administrative Operations

Provide high‑level executive support to the Dean, anticipating needs and providing input.

Manage operations of the Dean's Office, including procedures, systems, and daily activities.

Review and prioritize all communications directed to the Dean; draft correspondence, meeting minutes, and reports as needed.

Review and approve leave requests for direct reports of the Dean.

Handle sensitive issues requiring confidentiality; provide input to the Dean on institutional matters and exercise signature authority when appropriate.

Coordinate initiatives and special assignments on behalf of the Dean.

Maintain confidential records relating to faculty, leadership appointments, and policy changes.

30% - Scheduling and Stakeholder Management

Manage the Dean's complex schedule, ensuring effective coordination with Wright State University leadership, Premier Health executives, and other regional healthcare partners.

Collect, organize, and analyze data required for meetings.

Respond to inquiries from internal and external constituencies, meet with unscheduled visitors, and redirect or resolve concerns as appropriate.

Ensure the Dean is fully briefed and prepared for meetings, public appearances, and special events.

Serve as liaison between the Dean's Office, Premier Health leadership, Dayton region hospital administrators, and community partners.

20% - Strategic Communications and Messaging Support

Develop and edit high‑level communications for delivery by the Dean, including speeches, announcements, newsletters, and public remarks, ensuring tone and content reflect the Dean's priorities and institutional goals.

Provide executive‑level writing and editorial support to ensure communications are clear, consistent, and professional.

Serve as trusted communications partner, exercising discretion in handling sensitive or strategic messaging.

Collaborate with University Communications and Marketing to align with university brand standards and external messaging.

Prepare talking points, briefing materials, and communication strategies to support the Dean's public and internal engagements.

Monitor media and communications landscape to anticipate messaging needs or potential issues.

10% - Social Media and Digital Presence

Advise on the Dean's Office digital engagement strategy, including reviewing and suggesting social media content for alignment with messaging and brand.

Support creation, review, and scheduling of content in partnership with communications staff.

Make recommendations to strengthen the Dean's Office digital presence and track engagement trends.

Coordinate with communications partners across BSOM, Premier Health, and the university to align messaging and timing.

5% - Other duties as assigned

Assist in accreditation‑related communications and logistics as needed.

Provide backup support for other executive administrative tasks in the Dean's Office.

Participate in cross‑functional projects, special initiatives, or task forces at the Dean's discretion.
