Community Associate – 18 West 18th Street, New York, NY, is a full‑time opportunity supporting community and administrative services within NYCHA.
Responsibilities
Set‑up Remote Hearings via MS Teams for all Hearing Officers, including sending invites, preparing notice signatures, and entering case info into the VH SharePoint.
Process all Guardian Ad Litem (GAL) requests for public housing tenants subject to an administrative hearing in the Office of Impartial Hearings (OIH) to the Civil Court of the City of New York.
Assist with processing GAL invoices for payment, verifying services rendered and ensuring invoice information is correct; email GAL to correct documentation; update tracking logs with vital information.
Process vendor payments in accordance with agency and citywide procurement guidelines.
Assist in the preparation of monthly and quarterly reports.
Order supplies for the OIH utilizing Oracle.
Serve as key person for entering database information indicating outcome of daily hearings.
Serve as back‑up in processing Litigation Hold Notices from the Law Department Appeals Unit for Transcript/File requests.
Serve as back‑up to produce requested copies of audio and video recordings of administrative hearings for transcripts, subpoenas, and FOIL requests.
Serve as backup in coordinating and preparing administrative hearing files for attorneys/representatives to review.
Assist at the receptionist desk, when needed, processing parties and witnesses scheduled for administrative proceedings, answering high‑volume telephone calls, instructing residents, grievants, participants, and applicants on procedures for re‑opening defaults, and setting up first‑time on and continued hearings.
Prepare hearing files for microfilming of records.
Perform related duties.
Minimum Qualifications
High school graduation or equivalent and three years of experience in community work or community‑centered activities related to duties described, or
Education and/or experience equivalent to the above.
Preferred Skills
Knowledge of Termination of Tenancy Procedures, Grievance Procedures, Section 8 Administrative Hearings Procedures, and Applicant Appeal Procedures.
Minimum of two years full‑time satisfactory general secretarial experience and two or more years interacting with residents and the public.
Ability to work in a fast‑paced judicial environment.
Excellent communication skills.
Ability to interact effectively with residents, applicants, participants, and attorneys/representatives.
Ability to handle high volume of telephone calls.
Ability to perform multiple tasks and meet daily deadlines.
Proficiency in Microsoft Access, Excel, Word, Teams and Outlook.
Proficiency in typing.
