Administrative support to the Office of the CEO and the Board of Governors. Responsible for all office systems including the maintenance and reorganization of filing systems, maintaining and provides support to the Office of the President and CEO, the Board of Governors, and Committees. Responsible for office systems including maintenance and reorganization of filing systems, coordination of daily operations, maintaining and designing systems to improve the workflow, the departments web pages, developing the upkeep of the database, and assisting with arrangements for travel and conferences for Board, Committee meetings and the Consultants and Speaking Bureau (CSB).
Responsibilities
Provides administrative support to ensure efficient operation of office
Answers phone calls and greet visitors
Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
Supports team by performing tasks related to organization and strong communication
Updates and maintains office policies and procedures
Create and maintain filing systems, both electronic and physical
Contributes to team effort by accomplishing related results as needed.
Writes and distributes email, correspondence, memos, letters, faxes, forms, etc.
Assists in the preparation of regularly scheduled reports
Invoicing and accounting
Assists with other tasks or projects as assigned by the PCEO and Director of the OPCEO
Requirements
Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment
Proficiency in MS Office (Excel, PowerPoint, Word, Outlook, and Teams in particular) Zoom and Adobe Acrobat
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
Qualifications College degree or equivalent education required
