Receptionist – Viva Senior Living

Full‑time position in the Caldwell office.

Responsibilities

  • Receive guests and visitors, having them sign in.
  • Assist visitors in finding resident rooms.
  • Answer telephone and take messages (caller’s name, telephone number, time, and date of call); respond to requests and forward information to other staff members.
  • Announce appointments and arrivals to appropriate staff.
  • Type memos, correspondence, reports, and other documents as requested.
  • If requested, sort mail and distribute appropriately to mailboxes, residents, and departments.
  • Create and maintain an atmosphere of warmth, personal interest, and positive emphasis.
  • Maintain confidentiality of all pertinent resident information to ensure resident rights are protected.
  • Be knowledgeable about community services and rates; provide families and/or prospective residents with tours and community information.
  • Assemble and maintain admission and information packets.
  • Keep front desk and lobby area neat and organized.
  • Perform any other duties assigned by Business Office Manager or Executive Director.
  • Assist with evacuation of residents in an emergency situation.
  • Participate in all life safety and emergency drills and trainings.

Qualifications

  • High school diploma or GED required.
  • Read, write, speak, and understand English.
  • Maintain the highest standards in caring for residents and their families.
  • Adhere to all facility policies and procedures.
  • Adhere to Viva Senior Living’s attendance policies and employment terms as set forth in the Employee Handbook.
  • Comply with standards of business conduct in accordance with federal, state, and local health and regulatory standards and guidelines.
  • Work well with peers in a congenial work environment; demonstrate compassion, dignity, and adherence to the Resident Bill of Rights.
  • In exigent circumstances, be subject to call back during emergency conditions (severe weather, evacuation, temporary staffing shortages, etc.).
  • Report any occupational exposures to blood, body fluids, infectious materials, or hazardous chemicals in accordance with facility policy.
  • Report work‑related injuries and illnesses immediately to supervisor.
  • Complete all assigned training and skills competency.
  • Participate in all life safety and emergency drills and trainings.
  • Assure that residents and families receive the highest quality of service in a caring and compassionate atmosphere.
