Legal Secretary

Location: Los Angeles, Full-time, Hybrid

Key Responsibilities

  • Draft and format correspondence, briefs, and other legal documents.
  • File legal documents timely and accurately with state and federal courts (e‑filing knowledge a plus).
  • Maintain attorney calendars through Outlook and CompuLaw, scheduling appointments and due dates.
  • Prepare and process engagement letters and new client/matter requests.
  • Proofread all documents to ensure accuracy and completeness prior to distribution or filing.
  • Maintain updated client files, both paper‑based and electronic, complying with office policies.
  • Follow up on attorney client deadlines and calendar appointments via electronic calendaring and docketing systems.
  • Arrange meetings, conference calls, and order meals, refreshments, and equipment as requested.
  • Organize travel for assigned attorneys and complete expense reimbursements in a timely manner.
  • Review and ensure accuracy of vendor invoices; prepare accurate check requests and submit invoices for payment.
  • Assist other secretaries, paralegals, and attorneys when needed; accept overflow work.
  • Manage multiple assignments and deadlines while maintaining a professional demeanor.

Requirements

  • Minimum high school diploma (college degree preferred).
  • At least five years of experience as a legal secretary.
  • Strong computer proficiency with Lexis Nexis, Pacer, ECF, iManage, CompuLaw, Concur, Chrome River, Aderant, InTapp, Litera, and MS Office.
  • Demonstrated knowledge of legal terminology, documents, and processes in litigation, including tables of contents and authorities.
