OrthoIndy Hospital Northwest, located in Indianapolis, Indiana, provides outpatient care and inpatient care, with 10 operating rooms, 2 procedure rooms and a 42-bed inpatient unit for patients undergoing more invasive procedures, such as disc replacement, spinal fusion or total hip and knee joint replacement. Other services include an urgent care, clinics, pre-op clinic, imaging and physical therapy.

General Statement of Duties

The Unit Secretary is responsible for providing clerical support to physicians and staff in a very busy and fast-paced department. The secretary coordinates unit processes, answers phone calls and calls lights, assists and directs visitors and families, assists with admission and discharge of patients, maintains supplies, and assists with departmental scheduling. The Unit Secretary should be able to organize, prioritize and complete tasks in a highly interruptive environment, must be able to effectively communicate messages and unit needs to others, and is required to maintain a high level of professionalism and superior customer service.

Essential Duties

  • Performs various clerical duties, such as filing, printing, copying, mailing, and basic functions in Microsoft Office documents.
  • Enters information as needed in the nurse call system, assigns staff pagers, and monitors functionality of the system.
  • Communicates using nurse call system, telephone, paging systems, and computer-based systems.
  • Supports departmental staffing by preparing assignment sheet information, printing surgery schedules, and contacting staff to fill shifts.
  • Admits, discharges, and registers patients in the Electronic Medical Records system.
  • Maintains and orders unit supplies as necessary.
  • Participates in disinfecting practices to keep the unit tidy and organized. Notifies Environmental Services of any cleaning needs.
  • Reports malfunctioning equipment to Biomedical and Maintenance departments.
  • Manages lost and found processes for the Inpatient Unit, specifically with patient items.

Requirements

  • High School Diploma or GED required; specialty training beyond high school preferred
  • CPR BLS certification required
  • No prior experience required; 1-2 years of related experience preferred
