The County of Kings is seeking an exceptional, motivated, and detail-oriented professional to serve as Secretary to the District Attorney. This is a high-impact role providing executive-level administrative, legal, and confidential support to the District Attorney and legal staff.

Overview

As a key member of the District Attorney’s Office, you’ll play an essential role in ensuring the smooth and efficient operation of the office. Working under the general direction of the District Attorney, the Secretary to the District Attorney performs a wide range of complex secretarial, legal, and office management duties, supervises legal clerical staff, and manages sensitive and confidential matters with the utmost discretion.

Responsibilities

  • Perform difficult and responsible secretarial work, including legal research and preparation of briefs.
  • Schedule meetings and appointments for the District Attorney and executive staff.
  • Take and transcribe dictation, type a variety of financial, technical and statistical reports.
  • Relieve the District Attorney of administrative details and serve as receptionist.
  • Coordinate use of office facilities, check reports and records of the department.
  • Assist in preparation of payroll, department budget, claims, deposit permits and journal vouchers.
  • Maintain confidential personnel files and transcribe confidential information.
  • Prepare legal documents such as affidavits, complaints, warrants, judge’s orders, subpoenas, and other documents.
  • Operate a wide variety of office equipment, supervise and train subordinate employees, and represent the Department in county-wide meetings.
  • Provide communication links with other departments and outside agencies.

Qualifications

  • Education: Equivalent to completion of the twelfth grade.
  • Experience: Three years of legal secretarial or clerical experience; or two college years (60 semester units) with coursework in office procedures, legal terminology, shorthand or related subject to substitute for one year of experience.
  • License: Valid California driver’s license issued by the Department of Motor Vehicles.
  • Special Requirements: Type at 50 net words per minute and submit a recent typing certificate from a recognized agency.
  • Desirable Qualifications: Shorthand skills and/or the ability to accurately take and transcribe dictation.
