Job Summary and Responsibilities

Provide high-level administrative support services to assigned leader(s) and/or department(s).

Exercise discretion and independent judgment while performing key responsibilities.

Complete standard administrative processes such as mail processing, filing, faxing, scanning, copying, and organizing.

Proactively manage, analyze, and coordinate calendars and itineraries for supported leader(s).

Create and edit documents, spreadsheets, presentations, and organizational charts; develop complex documents independently on behalf of the leader(s) as needed.

Coordinate travel arrangements and complex travel itineraries using standard processes and resources.

Run and distribute standard reports; create custom reports and analyze reports as needed.

Follow (and may create) procedures and maintain procedural documentation.

Prepare for and support meetings, including scheduling, preparing meeting space, ordering catering, and providing hospitality services to guests.

Independently plan, organize, and oversee large-scale meetings and/or conferences, ensuring critical needs and all details are addressed.

Record and create high-level documentation of meeting minutes based on knowledge of the business.

With minimal direction, draft, edit, and distribute internal and external communications on behalf of leaders.

Proofread and edit others' communications before distribution.

Administer distribution lists and collaboration communities on Inside CHI.

Create and conduct surveys, providing organized reports to leaders and offering recommendations when presenting survey results.

Submit and code invoices and expense reports; assist with routing to the appropriate queues for leader approval; approve invoices according to predetermined guidelines.

Collect and compile data in preparation for budget process; may be asked to prepare reports in support of leader's budget responsibilities.

Process and file department contracts and agreements; preview and monitor contracts for changes and/or action.

May assist with editing timekeeping records.

Cross-train to learn unique responsibilities of peers within the department/group.

Gain in-depth specific knowledge about the department/group and the organization to build business acumen; develop an understanding of the interconnectedness of departments/groups and apply knowledge in daily work.

Provide backup administrative coverage for peers, ensuring all internal and external customers are served.

Job Requirements

Bachelor’s degree or equivalent experience required.

Six years of administrative experience required.

Pay Range $24.33 - $36.19 /hour
