Were partnering with a
mission-driven healthcare organization
on a confidential search for a
seasoned Executive Assistant
to support a dynamic and fast-paced
Chief Operating Officer (COO) .
This is a
critical support role
requiring exceptional judgment, discretion, and the ability to manage complex priorities with professionalism and efficiency. Youll be the COOs right handhelping drive organizational initiatives forward by keeping communications, schedules, and projects running smoothly.
Key Responsibilities: Provide high-level executive support to the
Chief Operating Officer Manage calendar, schedule meetings, and prepare supporting materials Coordinate
domestic travel
and logistics for the COO and executive leadership events Take detailed
minutes for monthly board meetings
and help coordinate
semiannual board retreats Create org charts, draft reports, and support strategic initiatives Maintain strict confidentiality and act as a trusted liaison across departments Assist with internal communications, meeting prep, and follow-up tracking
Ideal Candidate: 5+ years of progressive administrative experience, with at least 2 years supporting senior leadership Strong background in
healthcare, nonprofit, or mission-driven environments
is a plus Exceptionally organized, resourceful, and able to anticipate needs and prioritize tasks Proficient in Microsoft Office Suite and virtual meeting platforms (Teams, Zoom) Comfortable coordinating logistics and handling occasional travel for board-related events Discreet, proactive, and execution-focused someone who sees what needs to be done and gets it done
This is a
full-time, onsite role , with some travel required. Youll be working closely with an energetic and results-driven COO who values clarity, speed, and trusted partnership.
