Overview

The Boston University Libraries seek a Library Facilities Manager to oversee the daily operations for library facilities, monitoring building conditions, generating work orders, managing vendor relationships, and responding to facilities requests. Reporting to the Associate University Librarian for Collections and Operations, this role works closely with BU Facilities Area Managers to ensure the operation and maintenance of essential building systems, such as HVAC, plumbing, electrical, and elevators, and to ensure that the library meets safety codes and regulations. The Library Facilities Manager regularly liaises with library units, including Business Services and Library Administration. This role is a member of project teams and works with trades, vendors, and contractors. It is also a critical member of the Libraries Emergency Response Team (LERT), which acts as the library\'s first response to emergency situations, environmental and facilities disruptions, and time-sensitive issues across all library locations and branches. Additionally, this role contributes to the planning, design, and execution of facility improvements and renovations. The Library Facilities Manager directly supervises the library\'s mailroom operations. Responsibilities

Facilities Management:

Respond to and resolve direct requests from library staff related to space and facilities issues, environmental health and safety, HVAC, maintenance, repairs, cleanliness, damage or disrepair to furniture or equipment, leaks, pests, and lighting. Coordinate with appropriate campus departments and external vendors, follow up with trades and contractors, and communicate issue resolution to impacted library stakeholders. Oversee all work orders and service requests submitted to BU Facilities. Maintain building keys, door locks, alarm systems, and automated security/building access; liaise with BU Campus Security on building security matters. Regularly inspect all library building areas for cleanliness, safety, and accessibility. Apply expertise and independent judgment to resolve complex facilities challenges. Mailroom Supervision:

Oversee the library mailroom, which processes all incoming and outgoing shipments. Supervise and evaluate one full-time employee. Space Project Coordination:

Collaborate with Library Administration on facilities planning, forecast facilities needs, and propose projects. Participate in planning, design, and execution of remodels and renovations. Manage office transfers, relocations, configuration, and optimal space use. Emergency Planning and Response:

Participate in emergency preparedness planning and response. Ensure proper emergency/evacuation procedures are followed, resolve questions about emergency response needs, deliver emergency response training for library staff, and assist with documentation after any emergency. Security:

Manage building access control. Coordinate with BU Security for access control issues. Address immediate safety concerns for staff and visitors, acting as liaison with Campus Planning and Operations staff and external contractors. Required Skills

Bachelor\'s degree in a related field or equivalent related experience. 3-5 years of experience in facilities management, including knowledge of building systems such as HVAC, lighting, plumbing, and electrical systems. Ability to read blueprints and mechanical drawings. Previous project management experience. Experience analyzing facilities problems and developing solutions. Ability to prioritize effectively and manage multiple projects simultaneously. Familiarity with safety regulations and building codes to ensure compliance and the safety of library staff and patrons. Ability to communicate effectively with staff, students, campus trades, and external contractors. Excellent written and oral communication skills. Preferred Qualifications

Academic library or university facilities management experience. Experience in supervision and training. Demonstrated ability to plan, organize, and complete construction and facilities projects.
