Responsibilities

Provide comprehensive administrative support to the Global Head of Property Insurance

Serve as gatekeeper; screen, prioritize, and respond to incoming correspondence, maintaining confidentiality

Maintain organization of broader authorities for the Global Head of Property Insurance

Manage heavy calendars; schedule internal meetings, appointments, board meetings, conference calls and corporate events

Coordinate domestic travel for business; travel and expenses

Maintain communication with direct reports

Compose, edit, and distribute internal and external communications on behalf of Executives

Run weekly, monthly, and quarterly holdings reports for CIO staff meetings

Review and track Human Resources hiring requisitions, offer letters, and other documents for new hires

Collaborate with direct reports to ensure department organization

Manage sensitive matters and information with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.

Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.

Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.

Ability to function well in a high-paced environment; performs additional duties as assigned by executives.

Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with including quarterly board meetings and executive committee meeting

Manage the Executive's contacts

Be responsive to emails/texts/phone calls, with contact outside normal business hours

Welcome the Executive’s guests by greeting them, in person or on the phone; answering or directing inquiries.

Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance.

Organize all the e-files that go through the Global Head of Property Insurance (i.e. authorities, bulletins, notices, legal agreements, settlements, filings)

Position calls for the use of a variety of Investment Manager Proprietary systems

Assist direct reports as needed

Organizational skills are paramount to this role
