General Description
This position schedules and tracks training for all employees of the Clermont Police Department while providing advanced administrative support with professional and courteous service to external and internal customers at all times. This position works under general supervision.
This position is non-exempt. Fair Labor Standards Act overtime provisions will apply.
Per Florida Statute 295.065, certain servicemembers and veterans, and the spouses and family members of such servicemembers and veterans, receive preference and priority, and certain servicemembers may be eligible to receive waivers for postsecondary educational requirements, in employment by the state and its political subdivisions and are encouraged to apply for the positions being filled.
Primary Duties
Schedules and enrolls individuals in training classes or other related events for agency personnel.
Updates relevant training databases for in-house courses and classroom schedules.
Posts new course announcements and distributes block rosters for instructors.
Coordinates travel arrangements for officers attending training courses.
Maintains personnel attendance records and verifies attendance at assigned training courses. Ensures that attendance sheets are forwarded to appropriate destinations.
Greets visitors, directs visitors to appropriate areas, and/or provides information and assistance as requested.
Assists in coordinating and attends staff, committee, and other meetings; prepares and distributes meeting minutes; and maintains related records as necessary.
Establishes and maintains efficient and effective paper and electronic filing systems. Maintains various logs, documents, databases and employee training records via document management system.
Works closely with various educational institutions to verify enrollment of students in advanced training courses.
Stays abreast of Florida Department of Law Enforcement (FDLE) and Criminal Justice Standards and Training Commission (CJSTC) requirements for certifications and re-certifications (e.g., Law enforcement officers, instructors and K-9 handlers) updates FDLE databases with employee information as needed.
Performs routine clerical work including, but not limited to: computer literacy, designing forms and reports, copying, sending and receiving faxes, entering and retrieving computer data, preparing spreadsheets, assembling materials, and transmitting documents.
Performs general bookkeeping/accounting work as assigned which may include assisting with budget preparation, processing accounts receivable and payable, reconciling accounts, collecting and processing reimbursements/refunds, validating and preparing purchasing card transmittals, and preparing financial records and reports as required.
Coordinates, performs, and assists with specialized administrative, technical, or clerical duties particular to the department/area to which assigned.
Assists with special projects as assigned.
Performs other duties as assigned.
Minimum Qualifications
High School Diploma or GED
Three (3) years of work experience involving scheduling, secretarial/clerical duties including the operation of a computer, keyboard, mouse, or similar data entry equipment.
Valid Florida Driver’s License.
Knowledge of Microsoft Office Software.
Essential Physical Functions & Environmental Conditions Physical Demands
Requires work involving standing or walking for both short and long periods.
Exerts up to 10 pounds of force on a regular basis with the ability to lift/move 25lbs.
Operates office equipment requiring moderate dexterity.
Requires normal visual acuity and field of vision, hearing, and speaking abilities.
Work Environment Works inside in an environmentally controlled space; but the position will occasionally work in adverse environmental conditions (e.g., heat, cold, and rain) for moderate periods of time.
