Gillick Legal, APC is a rapidly growing civil litigation firm based in Old Town, San Diego. We represent businesses and individuals in complex disputes and pride ourselves on delivering precise, effective, and client-focused representation. We are seeking an experienced Legal Secretary / Litigation Assistant to join our team. This is a part-time, in-office position where you will play a critical role in helping the firm stay organized, efficient, and client-focused. Responsibilities:

Court Filings & Document Preparation Format, compile, paginate, and bookmark pleadings and motions using Adobe Acrobat and Microsoft Word. File documents in California courts (experience with federal court filing is a strong plus). Request hearing dates and track case statuses. Calendaring & Case Management Accurately calendar hearings, deadlines, and reminders in Clio or similar case management software. Organize and maintain electronic case files across multiple active matters. Ensure compliance with firm policies and procedures for file management and scheduling. Attorney & Client Support Draft correspondence, cover sheets, and templates for attorney review. Proofread documents for grammar, accuracy, and consistency. Communicate professionally with clients, courts, and opposing counsel (including phone calls). Track billable time on a task-by-task basis in Clio (or similar system). Administrative & Growth Support Support attorneys as a self-starter, helping keep the firm running smoothly. Contribute to the firm’s growth by ensuring precision, professionalism, and efficiency in every task. Qualifications:

Civil litigation experience required (minimum 2+ years, no family or criminal law). Hands-on experience filing and formatting pleadings with California courts. Strong technical skills in Adobe Acrobat (compiling, bookmarking, paginating) and Microsoft Word (redlines, templates, formatting, PDF conversion). Familiarity with Clio or other case management software (experience with Clio is a plus). Excellent attention to detail, especially in calendaring and document preparation. Strong grammar, proofreading, and organizational skills. Professional phone and email communication skills. Dependable, organized, and motivated to thrive in a fast-paced litigation environment.
