Clinic Operations Office Manager

Primary responsibility for managing one or more Boomerang Healthcare offices which entails providing administrative and operational leadership and direction. Clinic support to the medical providers as deemed appropriate based on the Supervisor’s training and experience. Oversight of day-to-day activities of the office(s). Staff hiring and management with support from BHC’s Human Resources department. Regular and on-going communication with BHC Management regarding the needs and performance of the office(s).
What you will do: Administrative duties may include scheduling appointments, maintaining medical records, billing, coding for insurance purposes, staff development(s), inventory purchases, time off request and approvals, and overall leadership of the office(s).
Clinic duties may include taking and recording vital signs and medical histories, preparing for examination, and preparing injection trays.
Provides administrative, operational and clinic support to all providers as appropriate
Manages, supervises and maintains day to day office operations
Answers phones and handles calls according to protocol
Monitors and ensures compliance with all policies, procedures and clinic protocols
Leads weekly meeting with team member(s) to keep them informed of the office’s needs, policies, procedures and general updates
Maintains staffing levels necessary for efficient delivery of clinic services and operational support
Coordinates performance management, discipline, hiring, terminations and other related staffing needs with the Human Resources Department
Coordinates and monitors providers schedules
Maintains and orders office supplies inventory
Maintains and orders medical supplies inventory
Check-in/ Check Out according to protocol, when needed
Assists providers with MA duties when needed
Processes No Shows and Cancellations according to protocol
Processes Incoming Faxes/Mail
Processes payroll and time card approvals
Performs initial employee counseling, and/or Performance Improvement Plan
Maintains a safe and risk-free environment by ensuring that all safety and risk management policies and procedures are reviewed and adhered to on a regular schedule
Qualifications:
Excellent communication skills, verbal and written
Ability to type 45+ wpm
Proficient in Windows XP, Microsoft Office, Electronic Medical record systems
Ability to multi task
Ability to follow directives
Excellent customer service
Professional demeanor and appearance
Efficient with time management
Experience working in a medical setting
Previous Management/Supervisory Experience
Compensation Range:
$70,000 to $82,000 Annually
All compensation ranges are posted based on internal equity, job requirements, experience, and geographical locations.
