Assign and schedule maintenance work orders with technicians and contractors to support repairs, preventative maintenance and projects. Maintain a consistent tracking system for work orders and parts inventory to determine stock supply for procurement of maintenance supplies. Collaborate with technicians, engineers, operations, and managers to establish component requirements to support proactive maintenance activities, using planning and scheduling methods to ensure the most effective and least disruptive maintenance possible. Typically uses a computerized maintenance management system (CMMS) to manage needs and complete work orders. Key Responsibilities
1. Review, refine and convert maintenance work requests into work orders
- Works with requester to understand scope and intent of requests; estimates effort, skills and cost; obtains quotations from contractors as needed; escalates for approval as needed. 2. Assign and Schedule maintenance work orders with technicians and contractors Identify and obtain parts for work orders Evaluate and assign work orders to technicians and contractors based on requirements and availability Collaborate with maintenance manager, supervisor, and other planners to schedule work Schedule contractors to support work orders Communicate work order details to technicians ensuring understanding and alignment between technicians/contractors and the requester 3. Develop and maintain detailed plans for preventative and predictive maintenance Use manufacturer recommendations, repair history and technician input to determine PM tasks and schedules Document PM tasks details and schedule in CMMS Schedule and assign PM work 4. Lead maintenance scheduling process Generate maintenance schedule Lead maintenance schedule review with maintenance and support teams Communicate maintenance schedule and assigned work to technicians, support team and requestors Manage and re-plan schedule changes as needed 5. Manage execution of vendor service contracts Create and manage work orders for vendor-provided service contracts Schedule repairs and preventive maintenance Monitor part usage for vendor repairs Monitor PM completion against contractual agreements Use company credit cards for vendors/contractors not in current purchasing system Purchases on credit cards require approval per purchasing limits and end-of-month reconciliation 6. Administer maintenance purchase requests Review maintenance requests and work orders for parts/service purchases Review purchase requests for correct information, quantities, and needed by date Send purchase requests to Procurement (Coupa Group) Track and communicate order status to affected teams 7. Coordinate janitorial and facility services 8. Coordinate outside service inspection and repairs 9. Research products and services for new and existing equipment installation and repair 10. Be available during maintenance outages to support urgent needs 11. Able and willing to work as a confined space observer for technicians as requested by Maintenance Manager 12. Back up other maintenance personnel as assigned Required Skills and Qualifications
Essential Qualifications Education and Experience Bachelor's degree in a relevant field (e.g., Engineering, Maintenance Management, or related discipline) or an equivalent combination of education and relevant experience Preferred Certified Maintenance & Reliability Professional (CMRP) Certification Skills Excellent verbal and written communication skills Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook) High level of organizational ability Able to work independently with minimal supervision while managing multiple priorities Core Competencies Safety - Satisfactory Technical Knowledge - Basic Quality of Work - Basic Communication - Satisfactory Critical Thinking - Satisfactory Dependability - Satisfactory Teamwork - Strong Adaptability & Flexibility - Satisfactory Performance Expectations Follow instructions and perform assigned tasks Maintain appropriate work pace and accuracy Support a continuous work culture Work Environment Mostly office with occasional visits to the manufacturing floor; moderate noise levels Travel Requirements Minimal travel (
