Position Summary
The Project Coordinator reports to the Oregon Division Manager and plays a pivotal role in supporting the Project Management team to deliver high-quality, timely, and profitable commercial landscape installations. This role acts as a strategic liaison between internal departments, field staff, project managers, general contractors, and subcontractors to ensure seamless project execution. The position is based out of our Hillsboro Corporate Office, with occasional travel to job sites as needed. Landscape construction experience is a plus but not required. We are seeking someone with a proven track record who can quickly learn and adapt to our processes.
Key Responsibilities
Lead project onboarding by reviewing scope, plans, specifications, exclusions, and special requirements.
Participate in weekly operations meetings, contributing to budgeting, forecasting, manpower planning, and equipment allocation.
Attend and document onsite meetings, identifying impacts to cost, schedule, production, and scope.
Maintain and distribute updated plans and specifications across teams.
Manage ASIs, RFIs, bulletins, and other project documentation.
Oversee submittal and closeout processes in collaboration with PMs.
Coordinate purchasing and delivery logistics based on approved submittals.
Develop and manage accounting schedules of values (SOV) and monthly billing reports.
Track and manage change orders, maintaining thorough documentation including correspondence, photos, and emails.
Support the Project Manager in job costing and construction work-in-progress (CWIP) tracking.
Create and manage purchase orders (POs) and ensure timely procurement of materials and services.
Qualifications
Minimum 5 years of experience in a general contractor or subcontractor environment (office or field).
Strong understanding of construction processes and ability to interpret plans and specifications.
Proven experience with submittals, schedules, and project documentation.
Exceptional organizational and time management skills.
Advanced proficiency in project management software and Microsoft Office Suite.
Strong analytical and problem-solving skills.
Collaborative team player with adaptability and a proactive mindset.
Professional, ethical, and dependable with a strong work ethic.
Bilingual in Spanish is a plus.
Compensation
Salary Range: $80,000–$85,000 annually (DOE)
