Position Overview
The Document Control Specialist is responsible for managing and maintaining all project documentation for electrical construction projects. This role ensures that documents are accurate, up-to-date, and properly stored and distributed to relevant stakeholders. The ideal candidate will have strong organizational skills, attention to detail, and experience working in a fast-paced construction environment.
Essential Duties And Responsibilities
Oversee and maintain electronic and physical document control systems to ensure all project documents, such as drawings, specifications, RFIs, submittals and contracts, are properly stored, filed, and updated.
Ensure timely distribution of documents to project teams, subcontractors, and clients.
Implement and maintain systems for tracking document revisions to prevent conflicts and ensure that the most current versions are used.
Coordinate with designers, project managers, project engineers, and field staff to ensure documentation compliance.
Assist in the preparation and submission of project closeout documentation.
Manage digital document management systems (e.g., Procore, Egnyte, Bluebeam).
Support audits and ensure documentation meets company and regulatory standards.
Archive completed project documentation according to company policy.
Recommend and implement improvements to document control workflows and systems to enhance efficiency and data management.
Perform slip sheeting in Bluebeam to update drawing sets with revised sheets while preserving/maintaining markups and hyperlinks.
Create and maintain hyperlinked drawing sets to ensure timely navigation between sheets, details, and references.
Collaborate with design and construction teams to ensure timely distribution of updated documents.
Support the implementation of document control procedures and standards across projects.
Qualifications
To perform this job successfully, the individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Bachelor’s degree and 2+ years of experience in document control, preferably in the electrical or construction industry; or equivalent years of experience.
Strong organizational skills and attention to detail.
Experience with Procore, ACC Build, or similar construction management platforms.
Familiarity with construction drawings and document workflows.
Maintain version control and document logs for all project-related files.
Proficiency in Bluebeam Revu, including slip sheeting and hyperlinking tools.
Experience with Procore, ACC Build, or similar construction management platforms.
Excellent ability to manage multiple tasks, prioritize workloads, and maintain accurate records.
Effective written and interpersonal skills to coordinate with various teams and stakeholders.
Language Skills
Must have the demonstrated ability to effectively communicate in English, cooperate, and collaborate with multiple levels of customer, employees, unions, government agencies, vendors and suppliers, and other contractor organizations.
