Draft and edit all relevant project information, process for party signatures, and enter all contracts, addendums, and change orders for make-readies, tenant improvements and major capital construction projects into PeopleSoft and the Project Tracker. Provide logistics support related to move-in, move-outs, showings, and vendor bidding processes. Assist with the collections process and default proceedings and maintain customer payment information; provide actionable insights to the Customer Experience Team (CET). Prepare annual payment schedules for tenant distributions. Enter and track work order tickets and process accounts payable in various programs. Assist with tenant relation activities (appreciation events, renewal gifts, tenant surveys, etc.). Ensure costs are coded correctly and are in line with the corresponding contract, including communicating with contractors, subcontractors, vendors and/or consultants; coordinate with the OCM and RECX teams. Required
High School Diploma or GED. 3+ years of experience in an administrative role, customer service, real estate or a related field. Excellent communication and interpersonal skills with the ability to build and maintain relationships with internal and external customers, team members, and partners. Strong organizational and time management skills; ability to prioritize tasks, meet deadlines, and show urgency and follow-through. Good mathematical and analytical skills. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Positive, proactive work ethic and attention to detail. Tact, discretion, confidentiality and good judgment with sensitive information. Preferred
Construction project coordination experience. Valid driver’s license and ability to travel to multiple properties. Knowledge of CRM systems such as Yardi, Salesforce. Familiarity with real estate processes and documentation (purchase agreements, leases, property management responsibilities). Compensation
Hiring salary range: $55,000 - $76,000 ($26.44/hr - $36.54/hr). Salary and total compensation (bonus target) depend on location, education, experience, knowledge, skills, and internal equity. People First
