$22.00/hr - $24.00/hr Position Summary

The Lead Medical Assistant collaborates with the Clinical Nurse Manager, Director of Clinical Services, Medical Director, Providers, Registered Nurses, Patient Service Representative Staff, and other staff to ensure every Medical Assistant provides quality healthcare to patients. The Lead Medical Assistant is expected to successfully perform all the duties and carry out all of the responsibilities of the Medical Assistant role including assisting in examination and treatment under the direction of a Physician.

MEDICAL ASSISTANT ESSENTIAL DUTIES AND RESPONSIBILITIES (Included but not limited to the following);

Assists Physicians/NPs/FNPs/Pas/Nurses in providing quality health care to patients. Ensures appropriate forms for documentation are included in medical records. Interviews patients and measures vital signs, such as pulse rate, temperature, blood pressure, weight, height, head circumference (for infants). Records information on patients' charts. Prepares treatment rooms for examination of patients. Maintains inventory and orders medical supplies and materials. Gives injections or treatments and performs routine laboratory tests under physician instructions. Maintains and sanitizes medical instruments and examination rooms as required by OSHA and other health standards. Abides by all HIPPA guidelines in protection patient privacy. Schedules appointments, keeps medical records, performs secretarial tasks, and completes insurance forms. Keys data into computer to maintain office and patient records.

Lead Medical Assistant Essential Duties And Responsibilities

This position is responsible for assisting the Clinical Nurse Manager and Director of Clinical Services in supporting and directing the day-to-day clinical responsibilities of the Medical Assistants, including maintaining inventory and equipment for the work areas; leading quality and compliance initiatives; and providing support for the rest of the Medical Assisting staff and patients during the course of the workday, while also performing general Medical Assisting duties.

This position does not have supervisory responsibilities; however, the Lead Medical Assistant is responsible for:

Providing training, guidance and direction to the rest of the Medical Assistants to ensure that clinical policies are understood and followed.

Functions as a resource for Medical Assistants (MA) in their principal duties and responsibilities Assist in managing patient flow within the center, ensuring maximum efficiency of care and minimization of patient wait times within treatment area. Create daily workload schedule, including distributing and adapting workload based on patient volume, staff competency and case complexity. Adjust this schedule throughout the day to ensure continued balance. Ensure schedules properly staggered and matching patient flow to minimize overtime. Conduct 5–7-minute daily huddle to prepare for patient flow each morning. Model best practices for staff in the assigned work area. Provide troubleshooting and technical support for other team members. Record temperatures for refrigerators in assigned work areas and inform Supervisor of any variances. Monitor and record inventory supply, following clinical protocols for par levels. Collaborate with Clinical Nurse Manager to ensure medication is tracked and stocked appropriately. Monitor Quality Control for in-office labs/point of care tests. Collect Medical Assistant daily checklist, review any issue with Medical Assistant, and ensure a plan of correction is in place if needed. Scan checklists and send to Clinical Nurse Manager via e-mail identifying the plans of correction implemented. Review next week’s schedule and provide input to the Clinical Nurse Supervisor/Director of Clinical Services to ensure coverage. Advise Clinical Nurse Supervisor/Director of Clinical Services on ways to improve patient flow issues.

Monthly

Collaborate with the Medical Director, Clinical Assistant, and Clinical Nurse Manager to complete and distribute the monthly clinic schedule for all TCA Health sites. Collaborate with the Medical Director, Clinical Assistant, and Clinical Nurse Manager to ensure adequate coverage (Provider and MA) at all TCA Health sites. Actively participate in CQI Team Meetings

As Needed

Identify areas of opportunity upon completion of risk assessment and collaborate with the appropriate department leaders to ensure plans of correction are in place. Collaborate with Clinical Nurse Manager to identify plans of correction to improve the clinical care delivered by Medical Assistants. Attend Clinical Team Leadership meetings and actively participate with recommendations to improve the delivery of patient care. Collaborate with Clinical Nurse Manager / Director of Clinical Services to present in Clinical Education offerings. Actively participate in Competency Training of employees. Ability to effectively assess new and existing staff skills and competencies, identify gaps and conduct necessary training. Provide input for performance management documentation for all Medical Assistants. Coach and supervise Externs, including completing support documentation for their programs. As new supplies arrive, rotate stock, including medications. Document receipt per policy. Monitor and record expiration dates for all medications and immunizations. Assist in maintaining all equipment in assigned work areas and reporting malfunctions or servicing needed to the Clinical Nurse Manager. Assists with the development, implementation and evaluation of departmental policies and procedures

Lead Medical Assistant Competencies

Language Ability

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees including leaders of the organization.

Reasoning Ability

Ability to solve practical problems. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills

Basic typing, proficiency with Electronic Medical Record, Microsoft Word, Outlook, and experience with Excel.

Equipment Skills

Medical office equipment: Expert use of EKG, AED, Glucometer, Oxygen Tank, and Point of Care Testing machines

Behavioral Characteristics

Detail oriented, responsive, professional, accountable, respectful, collaborative, vigilant in observing and maintaining safety standards.

Confidentiality

Able to lead staff in maintaining HIPAA privacy standards. Maintains confidence when learning of information that may be sensitive in nature related to employees, providers, or TCA Staff. Maintains a high level of confidentiality while participating in meetings that may be of a confidential nature.

Education And Experience

One year certificate from college or technical school 3+ years of Medical Assisting experience in an out-patient clinic 1+ years of previous Lead MA experience desirable but not required

CERTIFICATES, LICENSES, REGISTRATIONS

Medical Assistant Certification of Training from an accredited school or association and current CPR/AED certification required. Certified or Registered by accredited agency preferred

Qualifications

To perform this job successfully, an individual must demonstrate the following qualifications;

Able to work independently though knows when to reach out for assistance when needed. Willing to travel to school-based clinic, off-site meetings, and other satellite sites as necessary. Able to adapt to change and maintain a professional demeanor. Able to handle a fast-paced, diverse workplace, in a team environment. Excellent interpersonal/oral communication skills. Ability to organize physical space, paperwork, and clinic processes required.

Ability to walk and stand regularly. Required to be able to type proficiently, write legibly and read a computer monitor, as well as printed or handwritten materials. Needs to be able to communicate and respond effectively. Occasionally may need to crouch, kneel, stoop or bend. Must be able to use fingers, hands, and arms extensively to draw blood, administer injections and attend to other aspects of patient care. Ability to assist with moving or lifting equipment and patients up to 50 pounds. Visual acuity to perform tasks requiring close vision and ability to adjust focus. Ability to travel to the School Clinic or any clinical site as necessary.
