Executive Assistant to the CEO & President

Overview

Reporting directly to the CEO & President, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external stakeholders on administrative matters pertaining to the Office of the CEO. The Executive Assistant organizes and coordinates executive outreach, external relations outreach, internal engagement efforts on behalf of the CEO, and special projects. The Executive Assistant must be engaging, responsive, detail-oriented, and enjoy working with a tight team to execute key priorities of the Office of the CEO. The ideal candidate will have exceptional written and verbal communication, administrative, and organizational skills, work at a fast pace balancing multiple priorities, and exercise sound judgment in a variety of situations. The candidate will be able to work independently on special projects, respond to time-sensitive requests, and handle a wide range of activities and confidential matters with discretion. The Executive Assistant will also interact with Year Up United students in a variety of ways as appropriate (i.e. a coach, facilitator, and advocate, participating in building a positive educational environment). Key Responsibilities

Executive Support: Complete a broad variety of administrative tasks for the CEO & President including managing an active calendar; completing monthly expense reports; arranging complex and detailed travel plans; compiling documents for travel-related meetings and events. Engage with the CEO & President daily to ensure they are well informed of and prepared for upcoming commitments; provide updates on schedule changes; availability to be reached in and outside of regular working hours as necessary. Anticipate the CEO & President’s needs and proactively address them, including preparing outreach, meeting materials, briefing documents, and agenda items in advance. Communicate directly, and on behalf of the CEO & President, with Board members, investors, corporate partners, staff and others; follow up on contacts and support relationship cultivation. Collaborate with internal teams to ensure smooth and timely preparation and follow up for external engagements. Work in close coordination with the Chief of Staff to prioritize internal and external engagements. Other duties, including special projects as assigned. Senior Management Support

Assist in coordination of logistics and agenda for Executive Team off-sites and all-staff meetings; support facilitation needs. Serve as liaison to the Office of the CEO for other Executive Assistants and support cross-functional coordination. Oversee inputs to organization-wide calendar for key initiatives to support workflow management. Board of Directors Support

Support logistics and event planning for quarterly Board of Directors and Committee meetings. Communicate regularly with Board members in partnership with the CEO & President. Compile and distribute relevant materials. Facilitate Board approvals, Committee or Board action items, and follow up. Support onboarding of new Board members and facilitate meaningful engagement opportunities for current Board members. This role is hybrid and will require in-person engagement in our New York City office. Compensation & Benefits

Salary range: $105,000-$125,000. Benefits: Comprehensive healthcare options and dental coverage; 401(k) match for eligible participants. Vacation: Three weeks paid vacation in the first year; four weeks after the initial year. Professional Development: Funds available to support staff objectives ($2,500 per year). This is an exempt role (paid on a salaried basis). Qualifications

Five to seven years of experience supporting C-Level Executives. Exceptional organizational skills and ability to manage multiple priorities with attention to detail. Flexible, collaborative team player with excellent customer service skills and the ability to handle complex, confidential matters discreetly and professionally. Strong work ethic and positive attitude, with an independent disposition and willingness to get the job done. Excellent interpersonal, written, and verbal communication skills. High proficiency in Microsoft Word, Salesforce, PowerPoint and Outlook; experience with Excel and Concur preferred. Passion for working with young adults and commitment to the mission of Year Up United. Understanding of the Opportunity Divide and its drivers.
