The Financial Mobility Office Administrator contributes to the efforts of United Way of Greater Nashville (UWGN) by performing administrative support to the Financial Empowerment Center (FEC) team to ensure both staff and client success. This position is responsible for being the first point of contact for clients and stakeholders of UWGN’s Financial Mobility direct services. The Administrative duties include appointment scheduling for FEC counselors, providing referrals to ensure community members receive the services to meet their financial needs, and attending community outreach events. The Administrative Specialist helps the Financial Empowerment Center function efficiently to fulfill UWGN’s mission: to unite the community and mobilize resources so that every child, individual, and family thrives.
Job Responsibilities Primary Duties & Responsibilities:
Welcomes guests, volunteers, stakeholders, and clients to the Financial Empowerment Center by greeting them, in person or on the telephone, answering or directing inquiries to create a hospitable environment.
Develop and maintain a positive image of United Way Greater Nashville; Financial Empowerment Center using successful brand management techniques
Support office and administrative duties as needed
Primary duties and responsibilities are not all-inclusive, and employee will be asked to fulfill other duties as required.
Receives and promptly acts on all FEC appointment requests, referrals and reschedules.
Database entry; Charity Tracker, and FECBOT.
Office inventory organization and management.
Assists with staff calendar management and partner meeting coordination.
Stays up to date on the most frequent and useful outside referral partner programs and communicates these resources regularly with financial counselors.
Completes building work orders and sales order submissions.
Organizes supplies throughout the building to enable staff to locate needed items quickly.
Initiates the process for cheque requests to ensure supplies are stocked and that team members have the resources and tools necessary to perform their responsibilities.
Prepares conference room and other areas for training, meetings, and events.
Assists FEC staff with administrative tasks, as requested.
Qualifications Education:
High School diploma or G.E.D. equivalent, associate’s degree preferred.
Qualifications:
Administrative office support, customer service, or social work: 2 years
Basic computing and data management skills
Is responsible for maintaining multiple team member’s calendars.
Proficiency with Microsoft Office products, especially Outlook, Word, Excel, and Publisher
Valid Driver’s license
Physical Demands:
Visual acuity, manual dexterity, hearing, driving, standing, walking, sitting, stooping, bending, lifting, and carrying 50 pounds. Reasonable accommodation may be made to enable individuals with disabilities to perform their essential duties.
Working Conditions:
Maximum of 22.5 hours per week. Based on campaign schedules, position often requires work beyond traditional hours
Flexible schedule required during special projects and events
Work involves frequent interaction with other members of the United Way staff, volunteers, representatives of non-profit agencies and the general public
Occasional use of personal vehicle (mileage will be reimbursed)
The employee is required to stand, walk, climb, and balance.
Manual dexterity sufficient to reach/handle items and work with the fingers and perform repetitive hand/wrist motions.
Well-lighted, heated, and/or air-conditioned indoor office setting with adequate ventilation.
