**MUST HAVE RETAIL COMMERCIAL REAL ESTATE EXPERIENCE**

The Property Manager is responsible for the professional management of all assigned retail properties to include, but not limited to, tenant relationship management, facility maintenance, vendor management and property accounting/reporting. The Property Manager is primarily responsible for efficiently managing operational and capital property expenses to drive investment value. This position will report to the Vice President of Property Management.

Responsibilities Accounting

Budget Preparation – Assist with the completion of annual budget and capital improvement plan.

Accounts Payables – Review and approve accounts payable, ensuring accurate general ledger coding and property allocations.

Accounts Receivable – Review aged delinquency report, assist with collections, and communicate with property accounting team to ensure all balances have been paid and applied appropriately. Prepare and/or review adjustments to tenant billing process.

Financial Reporting – Assist with the review of monthly financial reports within the required deadlines. Prepare and submit monthly accruals prior to monthly reporting deadline in preparation. Complete monthly variance explanations. Assist in preparing 12-month projections and reviewing Cash Management reports.

Reconciliations – Assist with the review of CAM reconciliations and coordinate timely mailing of yearend reconciliations. Work with tenants on questions regarding the reconciliations once mailed and follow up on payments.

Taxes – Keep track of property tax due dates and timely payment. Follow up to ensure payments were received and processed by the tax authorities. Work with tax advisors on tax mitigation strategies.

Leases – Setup and maintain leases and amendments in AppFolio.

Operations

Onboarding – Assist in onboarding new properties including tenant letters, utility transfers, tenant contact list, vendor contact list, etc.

Repairs, Maintenance & Capital Projects – Assist in developing the scope of the project, identifying vendors to bid on the project, selecting the winning bidder, developing the project scope, drafting and maintaining approved, standardized vendor contracts, managing the project, collecting all required project documentation, and paying the vendor pursuant to client Pinnacle Guidelines. Ensure all properties are maintained in a first-class manner. Assist in managing vendor contracts to include collection of COIs, W-9s, lien waivers, etc.

Leases – Review all leases and amendments and verify all supporting documents are accessible. Enter lease and amendments into Appfolio. Assist in lease administration, including collection of rent, COIs, tenant sales, tenant and guarantor financials, HVAC maintenance contracts, tenant repairs and maintenance, etc.

Emergency Procedures – Assist with any property emergencies and ensure that emergency evacuation procedures are kept current.

Property Inspections & Vacant Suite Reports – Assist in inspecting GA properties on a monthly basis completing the Property Inspection and Vacant Suite reports.

Life Safety – Assist in coordinating life safety inspections.

Events – Assist in coordinating any events at a property.

MEP – Assist in annual inspections of all mechanical, electrical and plumbing for preventative maintenance.

Assignments – Assist in any assignment requests including collecting all require documentation and preparation of assignment agreement.

Enhancements – Assist in identifying opportunities to enhance the property’s façade, aesthetics, parking, signage, access, etc.

Tenant Notification & Requests– Prepare tenant memos and correspondence regarding building holidays, upcoming events, etc. Assist with any tenant requests.

Safety Warden Meetings – Assist in planning an annual safety warden meeting.

Tenant Coordination – Assist in coordinating all arrangements, notifications and authorizations for Tenant move-ins/move-outs. Collect required information.

Relationship Management

Vendor Relations – Develop and maintain strong vendor relationships.

Tenant Relations – Develop and maintain strong tenant relationships. Distribute annual tenant survey and perform follow-up as necessary. Assist in planning tenant events and gifts.

General

Support – Provide necessary support and information to all team members.

Filing – Assist in keeping all files at the property in compliance with internal audit requirements.

Other – Perform other duties as required.

Requirements

2-3 years on a commercial property management team

Experience preparing budgets, CAM reconciliations, and other types of related financial reports

Experience using a property management accounting platform, such as Yardi, Kardin or MRI

Ability to effectively present information and respond to questions from senior level management, clients, tenants, vendors, peers, and the public

Ability to analyze, interpret and explain financial statements and calculate dollar and percentage variances

Ability to solve practical problems and deal with variety of concrete variables in situations where only limited standardization exists

Ability to write and speak clearly and succinctly in a variety of communication settings and styles, able to project confidence and professional expertise

Strategic thinker with strong implementation orientation
