Job Description The
Group Sales Coordinator
supports the hotel's sales team by managing the group's booking process, coordinating sales activities, maintaining client relationships, and ensuring all administrative and logistical aspects of group events and contracts are handled efficiently. This role acts as a liaison between clients and hotel departments to deliver seamless group experiences while maximizing revenue opportunities.

As a
Group Sales Coordinator
you will:
Answer and manage incoming phone calls promptly and professionally, directing inquiries appropriately and providing excellent customer service to potential and existing clients
Handle telephone inquiries related to group bookings, event details, and general sales questions, ensuring accurate and courteous communication
Handle website initial inquiries and assist in creating proposals for prospects regarding event spaces, guestroom blocks, dining options, and amenities
Monitor group sales inbox and voicemail; respond promptly to inquiries
Manage group booking contracts, coordinate deposits, rooming lists, and special requests with relevant hotel departments
Maintain accurate sales records, update client information in reservation and CRM systems (e.g., Delphi, iVvy, SalesPro), and prepares group resumes and pick-up reports
Serve as the primary point of contact for group clients, ensuring timely communication and exceptional customer service throughout the sales and event process
Assist sales managers with site inspections, client meetings, event planning logistics, and coordinating cross-departmental efforts
Attend pre-convention meetings and represent the hotel during client site visits or events when needed

Experience working with Internet sites
Two-year certificate from college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience
Intermediate level Microsoft Word and Excel
Proficient organizational skills
Ability to perform data entry
Ability to multi-task in a fast-paced environment
Bi-lingual (English/Spanish) a plus but not required
