Bookkeeper / Office Manager Base Pay Range $30.00/hr – $34.00/hr

Managing the full invoicing cycle from start to finish. Including receiving and processing job-related documents, reconciling shipments with Salesforce orders, resolving any discrepancies, and posting all transactions to the general ledger. Familiarity with Salesforce and QuickBooks online is highly preferred.

Handling all financial transactions by receiving and depositing payments, processing invoices and accounts payable, and reconciling charges with receipts.

Managing cash flow by preparing daily reports, reconciling online ledgers and monthly bank statements with the General Ledger, and processing payments as authorized by the CFO.

Maintaining accurate and up-to-date payroll records, as well as tracking employee attendance & processing weekly payroll.

Planning office events such as holiday parties, team building activities, and birthday cards.

Maintaining proper supply inventory as well as acting as the primary point of contact for facilities management companies, such as cleaning, landscaping, and snow removal.

Qualifications

Experience with managing accounts payable, accounts receivable, and general ledgers. A strong background in invoicing and cash reconciliation is also crucial. Experience with QuickBooks Online is highly preferred.

Direct experience with processing payroll, including gathering data on time and attendance, PTO, and special payroll functions like bonuses or garnishments. Experience working with payroll services like Paychex is also a plus.

A background in maintaining confidential personnel files and managing HR administration tasks is vital. Experience with benefit record-keeping (health, dental) and ensuring compliance with mandatory postings and company policies is also necessary.

Proven experience in a broad administrative role that includes tasks like managing calendars, handling correspondence, and maintaining records. Experience with planning and managing office events and supplies.

Experience as a custodian of legal and corporate records is essential, covering areas such as tax identification, insurance policies, and safety logs. A candidate should be familiar with maintaining records for a variety of purposes, including OSHA and workers' compensation.
