Payroll & Tax Compliance Specialist

The Payroll & Tax Compliance Specialist is responsible for processing payroll and employee expense reimbursements, administering corporate compliance filings, and supporting tax and insurance requirements. This position plays a critical role in ensuring accurate financial reporting, maintaining compliance with federal, state, and local regulations, and providing support for business operations both domestically and internationally.
Essential Duties and Responsibilities
Under general supervision, must be able to perform a variety of job duties, including, but not limited to:
Accurately process payrolls for all employees in compliance with federal, state, and local regulations.
Calculate wages, salaries, overtime, and bonuses
Ensure proper deductions for taxes, benefits, garnishments, and other withholdings
Review and verify timekeeping records, ensuring accuracy and compliance with company policies
Maintain compliance with all payroll-related laws, tax regulations, and reporting requirements
Prepare and distribute payroll statements, reports, and summaries for management
Respond to employee inquiries regarding pay, deductions, and payroll policies
Ensure confidentiality and security of employee payroll information
Serve as the primary point of contact between AllClear and international payroll providers in collaboration with HR, when required
Collaborate closely with the HR team to ensure accurate and timely reflection of employee data changes
Conduct payroll reconciliations and resolve discrepancies
Expense Reimbursements
Administer employee expense reimbursements through SAP Concur.
Train employees in Concur for company travel and expenses.
Verify compliance with company policies and proper documentation.
Tax & Compliance Filings
Prepare, file, and maintain property tax returns, sales & use tax returns, business licenses, resale certificates, 1099s, W-9s, escheatment reports, and vehicle registrations.
Monitor filing deadlines to ensure timely submission and compliance with applicable regulations
Corporate Credit Cards
Reconcile monthly corporate credit card expense reports.
Investigate variances and ensure compliance with company policies.
Insurance Support
Assist with business insurance renewals, including gathering data from each facility/location and liaising with brokers
International Support
Provide support for the preparation of UK VAT returns in collaboration with external consultants
Other Duties
Perform other accounting, compliance, or administrative tasks as assigned to support Accounting and company operations
Maintain an organized, clean, and safe work area using safety standards and expectations while adhering to all quality practices.
Education and Experience
Bachelor’s degree in accounting, Finance, Business Administration, or related field preferred; equivalent work experience may be considered.
Minimum 3 years of experience in payroll administration, tax compliance, or corporate accounting.
Proficiency with Paylocity and SAP Concur strongly preferred.
Knowledge of multi-state payroll, sales & use tax, and business compliance filings required.
Familiarity with international VAT reporting is desirable.
Strong attention to detail, analytical skills, and organizational abilities.
Ability to prioritize tasks and meet strict deadlines.
Effective communication and interpersonal skills for cross-department collaboration.
Technical Skills:
Experience in Paylocity/Time and Labor
Knowledge of the SAP Concur System (Preferred)
Language Skills
Ability to read, analyze, and interpret general business information
Mathematical Skills
Ability to work with mathematical concepts such as addition, subtraction, multiplication, and division
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
Physical Demands
Customary physical demands for the office environment
On-site, full-time position; standard business hours with occasional overtime required to meet deadlines.
Work performed in an office environment with extended periods of computer use.
Travel
10% may be required as deemed necessary to perform this job
