Vaco
The Accounts Payable Supervisor will lead the AP team and manage all aspects of the accounts payable function. This role requires strong leadership skills, legal industry experience, and an ability to thrive in a fast-paced, detail-oriented environment.
Key Responsibilities:
Supervise and manage the accounts payable team, ensuring timely and accurate invoice processing and payments Oversee high-volume invoice processing, including vendor payments, client disbursements, and expense reimbursements Ensure compliance with legal billing guidelines, client trust accounting (IOLTA), and firm policies Handle vendor management, including new vendor setup, W-9 collection, and payment terms negotiation Perform and oversee 3-way matching, coding, and approval processes Reconcile credit card statements, trust accounts, and firm bank accounts Manage month-end close processes, including accruals and AP reporting Prepare 1099s and ensure year-end compliance Identify process improvements and implement best practices for efficiency Train, mentor, and evaluate AP team members to ensure performance goals are met Communicate effectively with attorneys, vendors, and internal departments to resolve issues promptly Qualifications:
3+ years of accounts payable experience, with at least 1 year in a supervisory role Experience working in a law firm or legal services industry required Strong understanding of trust accounting (IOLTA) and legal billing requirements Proficiency in accounting software (e.g., Elite, Aderant, or similar) and Excel (pivot tables, VLOOKUPs) Exceptional leadership, communication, and problem-solving skills Detail-oriented with the ability to manage deadlines and high-volume workloads Knowledge of 1099 preparation and year-end reporting Vaco by Highspring values a diverse workplace and strongly encourages women, people of color, LGBTQ+ individuals, people with disabilities, members of ethnic minorities, foreign-born residents, and veterans to apply.
