We partner with a dedicated community of volunteer blood donors to ensure that over 40 hospitals have access to a reliable blood supply. We are seeking a Part-time Accounting Specialist to join our team. The ideal candidate will possess a strong background in accounting, excellent organizational skills, and a keen eye for detail, demonstrating the ability to work independently and as part of a team.

Schedule Flexible part-time hours, Monday - Friday between 8am - 5pm.

Job Summary Under general supervision, the Accounting Specialist manages various accounting functions including accounts payable, fixed assets, account reconciliations, and assists with the preparation of financial reports and analyses. The role is crucial in ensuring the accuracy of financial transactions and maintaining internal financial controls.

Essential Duties and Responsibilities

Invoice processing: Receiving, reviewing, and verifying invoices for accuracy, including pricing, quantities, and purchase order matching.

Data entry: Inputting invoice details into the accounting software system.

Vendor management: Maintaining vendor information, addressing payment inquiries, and resolving invoice discrepancies. Generating and distributing 1099s at year-end.

Account reconciliation: Matching invoices to purchase orders and reconciling accounts payable balances.

Fixed Assets: Maintaining detailed records of capital equipment, including depreciation, disposals, and reconciliations.

Inventory: Participating in monthly physical inventory counts at Appleton Donor Center and Warehouse, with flexibility for timing.

Daily Cash Application: Applying cash receipts daily to customer invoices accurately.

Expense reporting: Reviewing and verifying monthly expense reports for proper coding and approval.

Insurance: Reconciling prepaid insurance monthly, assisting with annual renewal forms, and providing COI requests for mobile drives.

Audit preparation: Assisting with annual audits by providing documentation and responding to auditor requests promptly.

Compliance: Ensuring adherence to policies, procedures, and GAAP.

Co-management: Managing accounts payable and finance email mailboxes.

Backup: Supporting payroll processing, purchasing, and sales invoicing.

Education, Experience, and Skills Requirements

Minimum of an Associate Degree in Accounting

2-4 years of relevant experience in accounting, especially in accounts payable and asset management

Understanding of accounting principles and practices

Strong attention to detail

Excellent organizational and time management skills

Proficiency in Microsoft Excel

Analytical skills to identify discrepancies

Effective communication and collaboration skills

Self-starter attitude and ability to work independently

Physical Requirements

Ability to lift objects up to 30 pounds occasionally
