Property Administrator (CRE)

Job Summary
Performs administrative functions of the Property Management Team, ensuring professionalism in property issues, including timely response to tenant requests.
Key Responsibilities
Provide full administrative support: phone support, typing reports, filing, distribution of correspondence.
Schedule and coordinate meetings and special events.
Assist in lease administration: tenant contacts, insurance information, generate reports.
Prepare bid proposals, service contracts, invoices; assist Property Manager in compliance.
Prepare and code invoices for Property Manager’s approval.
Ensure office stocked with supplies; maintain office.
Complete contract and certificate of insurance information in software.
Track and file contracts, insurance certificates; maintain follow-up for expirations.
Monitor work order system, prepare monthly reports for Property Manager.
Maintain purchase order system.
Maintain lease and contract files.
Promote positive relationships with tenants and clients; track service calls.
Assist with monthly and quarterly management reports and annual budget preparation.
Process staff hours, tenant bill back invoices through accounting, expense reports, monthly meter readings, check requests.
Qualifications
High school diploma or GED; bachelor’s degree preferred.
Customer service experience preferred.
Proficiency in Microsoft Office Suite.
Strong communication (oral and written).
Excellent organization and interpersonal skills.
Initiative, multi-tasking.
Work Environment
Professional office environment with standard office equipment (computers, phones, photocopiers, filing cabinets, fax machines).
Physical Demands
Stand, walk, ascend/descend staircases, ladders, step stools, travel outside buildings. 85% stationary; operate office machinery.
