Reports to : Regional Operations Director Compensation : Hourly starting range $20 - $25; Commensurate to Skills, Education, and Experience Hours : Full-time; Monday - Friday, 8:30am - 5:00pm Eight paid holidays per year. The Company designs, develops, constructs, and operates biogas powered renewable energy generation systems on dairy farms. Our projects include anaerobic digesters, biogas-powered electric generation, and renewable natural gas upgrading. Position Description As a member of the Operations team, the Operations Administrative Assistant will play a crucial role in supporting the efficient functioning of our organization by providing comprehensive administrative and clerical support to our Operations team. The successful candidate will be responsible for managing day-to-day admin tasks such as file organization, document control, contract drafting, communications with internal and external parties, purchase order generation and processing, and assisting with additional aspects of our projects. This role requires a proactive and organized individual who can manage multiple priorities and work collaboratively with team members. Responsibilities Assist the Operations team with administrative tasks throughout the project’s lifecycle. Serve as the primary point of contact for internal and external communications as they relate to administrative tasks. Maintain accurate and up-to-date records, databases, and filing systems. Drafting and processing of contracts, purchase orders, reports, correspondence, and invoices with an understanding of tax requirements and exemptions. Perform data entry tasks with a high level of accuracy and attention to detail. Respond to emails, phone calls, and inquiries in a professional and timely manner. Coordinate efficiently with the team and any third-party contractors or consultants. Organize and schedule meetings, including preparing agendas and taking minutes as needed. Proactively achieve tasks assigned and estimate effort required for each task. Qualifications & Skills Proficiency with Microsoft Office Suite, and Adobe Acrobat Microsoft Excel experience is preferred Detail-oriented and highly organized Self-motivated and forward moving Quick learner Strong critical thinking and problem-solving skills Excellent written and verbal communication abilities. Strong interpersonal skills and a positive, team-oriented attitude. Must be proficient in English. Physical Demands Requirements This job mainly operates in a professional office environment. The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Physical Demands This is largely a sedentary role with some travel required. This would require the ability to enter, travel in, and exit vehicles and airplanes.
