Administrative Assistant II, Forensic MH – The Harris Center for Mental Health and IDD is looking for an Administrative Assistant II, Forensic MH to support day-to-day operations and programming needs in the Forensic unit. This role works collaboratively with Harris Center staff and the Harris County Juvenile Probation Department (HCJPD) to provide on-site administrative/operational support, manage scheduling, and coordinate referrals and reporting for Forensic evaluations. Responsibilities

Coordinate appointments for court-ordered evaluations with patients’ parents, attorneys, and Forensic unit staff. Triages high-risk youth based on clinical needs and agency directives to prioritize scheduling. Schedule JEHT clinical cases and prepare packets for daily cases, including scanning court dispositions and maintaining spreadsheets/databases (e.g., staff monthly productivity, court orders, referrals, unit statistics, staff calendar). Maintain communication with the Juvenile Detention Center regarding youths’ clearance from quarantine, floor restriction, and medical isolation; coordinate daily/weekly testing and video assessments. Coordinate referrals for all types of Forensic Evaluations from multiple sources (District Courts, Detention Court, Specialty Court, HCJPD Officers, youths’ attorneys). Serve as Release of Information Officer and IT super user between HCJPD database/computer and Harris Center systems (Kronos, Citrix, Intranet). Prepare and type District and Detention Court orders; track and maintain a database with copies of orders. Present results of psychological evaluations to Pre-Court Staffing on a weekly basis. Transcribe Psychiatric reports dictated by the MD and collaborate with external partners regarding records requests as a Release of Information Officer. Act as Information consultant between Harris Center Administration, Forensic staff, and HCJPD Administration; provide unit IT and records support as needed. Check and distribute unit mail and emails; order and maintain office supplies; enter leave data in KRONOS; liaison with agency on KRONOS issues; submit monthly KRONOS details to the Forensic Division Budget Manager. Conduct monthly audits of clinicians’ client files and assist with filing/record-keeping; perform other related duties as assigned. Qualifications

Education : High School Diploma or GED. Experience : 2 years of progressive office/administrative experience; 4 years preferred. 2 years experience with criminal justice; 2 years of transcribing experience from dictation. Knowledge, Skills & Abilities : Highly effective time management and organizational skills; strong interpersonal, organizational, and collaborative abilities; excellent customer service. Proficiency in Microsoft Word, Excel, Access, PowerPoint, and Outlook. Knowledge of HIPAA Privacy and Security Rules. Strong verbal and written communication; ability to work independently. Bilingual English/Spanish preferred but not required. About Us
