The Grants Specialist reports directly to the Director of Research Development & Sponsored Programs in the Office of Research, Innovation, and Collaboration (ORIC) and is primarily responsible for working closely with Spelman College faculty and staff to oversee pre- and post-award activities for proposals for external funding and awarded grants from government agencies. This position ensures the compliance of proposals for external funding submitted on behalf of the College and the proper stewardship of sponsored projects as assigned. This position may have the possibility for some remote work.

Responsibilities Pre-Award – Primary Duties

Provides guidance and expertise to grant-seekers to identify appropriate funding opportunities by conducting electronic and manual searches.

Guides and supports faculty and staff during the proposal preparation and submission process.

Assists grant-seekers with the preparation of budgets and financial portions of applications, ensuring content is accurate and complete.

Gathers institutional data and boilerplate language for proposal narratives in support of selected grant applications.

Develops and maintains a library of reference documentation, including funding agency requirements, forms, and checklists (uploads to Spelman’s Faculty Collaboration Hub).

Reviews and interprets guidelines, proposals, and budgets to ensure compliance with college policies, federal regulations, and funder requirements.

Monitors the progress of internal approvals and signatures to ensure timely submission of proposals.

Interprets funding agency and college policies and procedures and disseminates newly available information on funding regulations.

Assists in planning, developing and conducting training programs to educate faculty and staff in proposal development and sponsored project administration.

Post-Award – Primary Duties

Coordinates and facilitates activities related to the establishment, implementation, and close-out of awarded grants.

Prepares awardees for effective management of external funds through orientations, regular meetings/updates, and written guidance.

Interfaces with faculty and staff to maintain compliance with funding agency and College policies; monitor burn rates; provide administrative guidance on deadlines and reports.

Decides on feasibility of budget modifications, no-cost extensions, and other award changes; submits related requests.

Collaborates with the Office of Budget and Contracts, Office of Human Resources, Office of the Controller (Accounts Payable), and Faculty Affairs to ensure effective management and compliance of externally funded programs.

Maintains and updates grant files with notices of awards, reports, time and effort, correspondence, expenditure rates, and other post-award documents.

Ensures application of OMB Uniform Guidance, sponsor rules, and College policies; tracks sponsor reporting deadlines.

Proactively communicates issues that may affect successful completion of sponsored projects.

Manages the sub-award process and serves as the primary contact for sub-awardee institutions/organizations.

Guides awardees to ensure timely submission of interim and final reports; supports efficient grant close-out.

Assists with IRB documentation and compliance for Human Subjects research.

Other Duties and Responsibilities

Assists in preparing educational materials and communications related to research administration and sponsored projects activity.

Contributes to orientations and trainings for awardees to inform on policies and required documents.

Assists with updating ORIC’s Faculty Collaboration Hub and monitors proposals and funded awards in the CAYUSE platform.

Participates in trainings to enhance knowledge of research administration concepts and practices.

Implements policies and standard operating procedures to ensure sponsor compliance.

Works with ORIC’s Communications team to develop award announcements for the Spelman Community about funded grants.

Oversees electronic databases, shared files, platforms, and submission systems (including Research.gov, NIH eRA Commons, CAYUSE eRA, Ellucian Banner) to track grant proposals and awards.

Qualifications Required

Bachelor’s degree with at least four years of relevant experience with sponsored programs.

Ability to work effectively in a college setting and with diverse communities; experience interacting with governmental agencies (federal/state) and funding bodies.

Extensive knowledge of federal and state rules, regulations, policies (OMB Uniform Guidance), and the ability to interpret policies for others.

Experience managing multiple award mechanisms (grants, sub-awards, cooperative agreements).

Strong initiative, strategic thinking, adaptability, independent work style, and good judgment.

Excellent written, verbal, and time management skills with a professional demeanor for interacting with internal and external stakeholders.

Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and ability to read and interpret complex documents (RFPs, financial reports, contracts).

Preferred

Master’s degree or certification as a research administrator (CRA) preferred.

Certifications, Licenses, Restrictions

Expect to pursue a CRA or CFRA certification within two years of hire if not already certified.

Physical Demands

Regularly sit, walk, use hands, operate computer; occasional standing, reaching, lifting up to 15 pounds; ability to adjust focus.
